Job description

The Software and Hardware Asset Manager is responsible for enhancing and maturing the existing IT asset management processes using the agency's implemented ServiceNow Hardware Asset Management (HAM), Software Asset Management (SAM), and IT Operations Management (ITOM) platforms. This role will focus on improving data accuracy, refining workflows, and optimizing the current processes to ensure comprehensive tracking, compliance, and optimization of the agency's technology investments while adhering to federal regulations and standards.
  • Evaluate and enhance existing asset management processes to improve efficiency, data quality, and operational effectiveness.
  • Identify gaps in current workflows and implement solutions to strengthen the asset management program.
  • Standardize inconsistent practices across departments to create a unified approach to asset management.
  • Document and formalize ad-hoc procedures into sustainable standard operating procedures.
  • Establish metrics and KPIs to measure process improvement over time.
  • Refine existing asset lifecycle tracking from procurement through retirement within the current ServiceNow implementation.
  • Optimize existing software license allocation to address gaps and redundancies.
  • Improve documentation practices for software license audits and compliance reviews.
  • Develop more comprehensive software usage monitoring to identify consolidation opportunities.
  • Audit and improve accuracy of existing hardware inventory records in ServiceNow HAM.
  • Establish more consistent tracking of hardware warranties, maintenance agreements, and service contracts.
  • Coordinate and formalize hardware refresh cycles and technology upgrade planning.
  • Enhance hardware disposal processes to ensure full compliance with federal regulations.
  • Improve management of hardware stockrooms and spare parts inventory.
  • Strengthen integration between the existing asset management and operational systems.
  • Align asset records with operational service management processes to eliminate discrepancies.
  • Enhance existing asset management dashboards and develop new reports to address information gaps.
  • Implement more comprehensive status reporting on asset inventory, compliance, and financial metrics.
  • Improve data analysis capabilities to better identify trends, risks, and optimization opportunities.
  • Develop more accurate forecasting for hardware refresh and software license renewal planning.
  • Enhance asset-related reporting to meet federal compliance requirements and audit standards.
  • Develop and implement procedural documents to address knowledge gaps in asset management procedures.
  • Foster adoption of proper asset management practices across the organization.
  • Collaborate with stakeholders to ensure buy-in for process improvements.
  • Provide guidance to staff on proper utilization of the asset management systems.

Minimum Qualifications
  • Bachelor's Degree in IT, Business Administration, or related field, or equivalent relevant experience.
  • 5+ years of experience in IT asset management or related field.

Other Job Specific Skills
  • Hands on experience with ServiceNow platforms, specifically HAM, SAM, and ITOM.
  • Demonstrated experience in maturing and optimizing existing IT asset management processes.
  • Experience with federal IT management policies and compliance requirements.

  • Familiarity with ITIL framework and IT service management principles.
  • ServiceNow Certified System Administrator certification preferred.
