Job Summary:
As the IT Asset & Procurement Manager, you will ultimately be responsible for managing the full lifecycle of IT hardware and software assets, leading enterprise IT procurement, and driving the maturity of Congruex's IT Asset Management (ITAM) program. You will oversee asset lifecycle management, software license compliance, vendor relationships, procurement operations, and CMDB implementation while delivering operational excellence across the organization. As the IT Asset & Procurement Manager, your customers are Congruex employees, IT leadership, Finance, Procurement, and technology vendors, and you will make meaningful contributions to the company's success through operational efficiency, cost optimization, and effective asset governance.
Key Responsibilities (Including, but not limited to):
Hardware Asset Management
  • Manage the complete lifecycle of IT hardware assets across all Congruex locations, including procurement, receiving, asset tagging, deployment, inventory management, refresh planning, and secure disposal
  • Maintain accurate inventory records for approximately 3,000 endpoints and 350 mobile devices across enterprise locations
  • Develop and execute long-term hardware refresh strategies aligned with asset lifecycle, performance, and budget planning
  • Establish and maintain enterprise asset tagging standards, inventory audit procedures, and receiving and staging processes
  • Coordinate equipment provisioning, redeployment, shipping, and secure end-of-life disposal in accordance with company policies and data destruction standards

Software Asset Management & License Compliance
  • Manage the enterprise software asset portfolio, including perpetual, subscription-based, SaaS, concurrent, and enterprise licensing models
  • Maintain accurate software entitlement records including contract terms, renewal schedules, ownership, licensing costs, and utilization
  • Lead software renewal forecasting and co-term management for enterprise licensing agreements including Microsoft 365, Autodesk, Adobe Creative Cloud, and other SaaS platforms
  • Identify software optimization opportunities by reducing unused licenses, eliminating redundant subscriptions, and improving license utilization
  • Serve as the primary point of contact for software vendor audits and maintain audit-ready licensing documentation

SaaS & Subscription Governance
  • Maintain a complete inventory of enterprise SaaS applications, including approved and shadow IT solutions
  • Partner with IT leadership, Finance, and business stakeholders to govern SaaS usage, procurement compliance, and application rationalization
  • Forecast SaaS renewal costs and proactively identify renewal risks
  • Develop and maintain SaaS onboarding and offboarding processes aligned with user lifecycle management

Procurement & Vendor Management
  • Manage the end-to-end IT procurement process including purchase order creation, approvals, receipt reconciliation, and invoice validation in partnership with Finance
  • Administer IT purchasing activities through Concur while ensuring accurate coding, approvals, and financial reconciliation
  • Manage relationships with hardware, software, and SaaS vendors while serving as the primary IT contact for purchasing and contract-related matters
  • Lead onboarding activities for new IT vendors, including security reviews, contract coordination, legal requirements, and system setup
  • Maintain the approved IT vendor register, including contract status, pricing, renewal dates, and vendor performance
  • Negotiate pricing, contract terms, service level agreements, and enterprise purchasing agreements to maximize value
  • Partner with Finance to support IT budget planning, purchasing approvals, and spend forecasting
  • Ensure procurement activities comply with Congruex purchasing policies and approval requirements

CMDB Evaluation & Implementation
  • Lead the evaluation, selection, implementation, and ongoing administration of a Configuration Management Database (CMDB) solution
  • Define Configuration Item (CI) standards, lifecycle states, naming conventions, and required attributes aligned with ITIL best practices
  • Establish CMDB data quality standards and maintain data accuracy through reconciliation with procurement systems, discovery tools, and endpoint management platforms
  • Integrate CMDB capabilities with ITSM, endpoint management, and Software Asset Management platforms to establish a single source of truth for enterprise IT assets

Tooling & Platform Management
  • Serve as the functional owner and subject matter expert for enterprise IT Asset Management platforms, including Tanium, ServiceNow, and Concur
  • Lead adoption of ServiceNow IT Asset Management processes, including requirements gathering, workflow configuration, and user enablement
  • Continuously optimize ITAM tools, integrations, automation, and reporting capabilities
  • Evaluate emerging ITAM technologies and recommend solutions that improve operational maturity

Reporting & Analytics
  • Develop dashboards and executive reporting for asset inventory, software compliance, hardware refresh planning, procurement activity, SaaS spending, and CMDB health
  • Provide regular reporting to IT leadership and Finance regarding asset lifecycle, renewal forecasts, compliance, and cost optimization initiatives
  • Define, monitor, and report key IT Asset Management performance metrics

Team Leadership & Development
  • Lead, develop, and mentor a team of IT Asset Analysts and Specialists
  • Establish performance expectations, coaching plans, and career development opportunities
  • Develop standard operating procedures, documentation, and repeatable asset management processes
  • Foster a culture of accountability, operational excellence, and continuous improvement
  • Assist with special projects and additional responsibilities within functional scope based on business needs

Required Qualifications:
Education, Licensing, and Certifications
  • Bachelor's degree in Information Technology, Business Administration, Computer Science, or a related field, or equivalent combination of education and work experience

Experience
  • 5+ years of progressive IT Asset Management experience, including management of enterprise hardware and software assets in a distributed, multi-site environment
  • Minimum of 2 years of leadership experience managing or leading IT Asset Management teams
  • Demonstrated experience managing end-to-end IT procurement, including purchase order management, vendor onboarding, contract administration, and vendor negotiations
  • Hands-on experience managing enterprise hardware asset lifecycle processes, including procurement, deployment, inventory management, refresh planning, and secure asset disposition
  • Experience managing software licensing across perpetual, subscription-based, SaaS, concurrent, and enterprise licensing models
  • Experience managing enterprise software agreements, including Microsoft 365, Autodesk, Adobe Creative Cloud, and similar subscription-based licensing environments
  • Experience contributing to or supporting CMDB implementation and Configuration Management initiatives

Skills and Abilities
  • Strong verbal, written, and presentation skills with the ability to communicate complex IT Asset Management and procurement information to technical and business stakeholders
  • Strong analytical and problem-solving skills with the ability to transform asset and financial data into actionable business recommendations

Technical Skills
  • Hands-on experience with Tanium, ServiceNow, or comparable endpoint discovery and IT Asset Management platforms
  • Experience administering ServiceNow IT Asset Management (ITAM) and/or IT Service Management (ITSM) modules
  • Experience using Concur or equivalent procurement platforms for purchasing workflows, purchase order management, and financial reconciliation
  • Strong understanding of enterprise hardware lifecycle management, including asset tagging, inventory control, staging, deployment, refresh planning, and secure disposal
  • Advanced knowledge of software license management across perpetual, subscription, SaaS, concurrent, and enterprise licensing models
  • Experience implementing or supporting Configuration Management Database (CMDB) solutions
  • Experience with endpoint management platforms such as Microsoft Intune, Microsoft Configuration Manager (SCCM), or Jamf
  • Working knowledge of ITIL Asset Management and Configuration Management best practices
  • Proficiency with Microsoft Excel, Power BI, or similar reporting and analytics tools

Preferred Qualifications:
  • Experience leading a full CMDB implementation from evaluation through production deployment
  • Experience supporting or leading a ServiceNow implementation, including requirements gathering, workflow configuration, and user enablement
  • Experience with Jira Service Management or comparable IT Service Management platforms
  • Experience supporting telecommunications, utilities, construction, or infrastructure organizations
  • ITIL Foundation Certification (v3 or v4)
  • IAITAM Certified Hardware Asset Management Professional (CHAMP) or Certified Software Asset Manager (CSAM)

Physical Requirements:
  • Ability to work onsite in Boulder or Denver, Colorado
  • Ability to occasionally lift and transport IT equipment weighing up to 30 lbs.
  • Ability to move between office, storage, and staging locations while managing enterprise IT assets
  • Ability to travel occasionally to support enterprise IT asset deployments, inventories, audits, or vendor activities as business needs require
  • Ability to work extended periods using computers and standard office equipment
