Essential Duties and Responsibilities
Job Planning & Scheduling
Responsible for coordinate and schedule asphalt and concrete restoration activities to ensure efficient utilization of crews, equipment, and resources.
Develop and maintain daily and weekly work schedules for paving, grinding, breakout, and restoration crews.
Assign work based on crew capabilities, production requirements, project priorities, and profitability objectives.
Ensure a minimum workload is available for assigned crews to maximize production efficiency.
Project Coordination
• Review work orders, permits, USA tickets, backfill reports, and related project documentation prior to scheduling work.
• Coordinate with field personnel, inspectors, utility representatives, and internal departments regarding project requirements and job status.
• Monitor project progress and adjust schedules as needed to address changing priorities, emergencies, weather conditions, or operational constraints.
• Facilitate communication between office staff, field crews, vendors, and customers to ensure seamless project execution.
• Collect and review job documentation, production reports, inspection records, and field paperwork for completeness.
• Assist with preparation of billing packages by ensuring supporting documentation is accurate and complete.
• Coordinate with payroll, accounting, and project management teams to support timely invoicing and project closeout activities.
EDUCATION/EXPERIENCE
• A high school diploma or GED equivalent required
• A 4-year business degree preferred but not required
• Minimum of 2 years of administrative experience in similar type construction environment required or equivalent
• Must have experience with the SCE, or other utility client Company Portal
• Demonstrated experience working with construction personnel and projects
• Demonstrated experience in understanding contracts to ensure compliance with terms and protect the company's rights in lien and collection matters
• Experience in paving, street restoration, utility construction, civil construction, or public works operations.
• Knowledge of asphalt paving, concrete restoration, traffic control, and utility restoration processes.
• Proficiency with scheduling software, Microsoft Excel, Outlook, and project tracking systems.
• Strong organizational, communication, multitasking, and problem-solving skills.
• Ability to manage multiple projects simultaneously in a fast-paced construction environment.
