Position Summary
Under general direction of the Director and AVP, the Administrative Support Coordinator provides comprehensive administrative, operational, and program support to advance the APIDA Center, APPEX, and CSU Asian American Grant (CSU ASAP) initiatives). The position also provides high-level administrative, operational, and clerical support, acting as a key liaison between the AVP, staff, and external stakeholders.
The incumbent is responsible for maintaining, tracking and reconciling program fiscal records; supporting program operations implementation and evaluation; and coordinating projects, convenings, meetings, and events with campus and community partners This role also includes guiding new and continuing students though university processes and providing program-related support to students and staff.
This position requires independent judgment to gather, analyze, and interpret information, apply university and program policies, and resolve issues. The incumbent utilizes a full range of office technologies and systems, including word processing, spreadsheets, data management platforms, and communication tools, to support daily operations and strategic initiatives.
FLSA: Non-Exempt (eligible for overtime compensation)
Anticipated Hiring Range: $4,367 per month (Step 1)
CSU Classification Salary Range: $4,367 per month (Step 1) - $6,362 per month (Step 20)
Salary step placement will be determined based on relevant qualifications and professional experience.

Minimum Qualifications
Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.
These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.
Required Qualifications
  1. Experience coordinating and/or performing administrative support functions in a complex administrative environment
  2. Experience setting priorities, meeting deadlines, evaluating and making recommendations pertaining to operational and procedural matters
  3. Expertise with office software packages (e.g., Microsoft Office) and office equipment
  4. Strong organizational and multi-tasking skills and ability to initiate, coordinate, execute, and evaluate large-scale, complex projects that may involve coordination with the College and/or other programs and programs
  5. Ability to provide lead work direction, training, and guidance to student assistants or other office staff and provide input to performance evaluations, when needed.
  6. Ability to work with frequent interruptions
  7. Ability to work creatively and independently under general direction related to program goals
  8. Ability to interpret and apply policies and procedures independently and use judgment and discretion to act and make decisions and recommendations
  9. Ability to prepare correspondence and utilize spreadsheets and databases
  10. Excellent written and verbal communication skills with the ability to convey information clearly and accurately (e.g., reports) and with mastery of English grammar, punctuation, and spelling.
  11. Ability to maintain program website
  12. Ability to develop, research, analyze, evaluate, and recommend innovative solutions to a broad range of operation and procedural office and administrative problems
  13. Ability to use social media to professionally represent the workplace
  14. Skilled in interaction with others at all levels within and outside the university, including in sensitive interpersonal situations
  15. Knowledge and understanding of protecting and securing sensitive and confidential data and other forms of information
  16. Demonstrated ability to work effectively, inclusively, and sensitively with people from diverse backgrounds
  17. Commitment to maintaining a welcoming and inclusive work environment with diverse colleagues and constituents including faculty, students, staff, and members of the community.

Preferred Qualifications
  1. Experience working in higher education
  2. Comprehensive and detailed knowledge of the university infrastructure, policies, and procedures.
  3. Ability to understand problems from a broader perspective and anticipate the impact of office administration problems and solutions on other areas.
  4. Knowledge of budget policies and procedures, scholarships, and financial record tracking
  5. Proficiency with Common Management System (CMS), Human Resources / Student Administration (HR/SA); Cognos, Cascade, Concur, Saclink email; Financial Data Warehouse; Blackbaud; Add/Drop procedures
  6. Experience with preparation of the course schedule, including scheduling classes and reserving rooms
  7. Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference
