Job description

Job Summary The Adult Program Coordinator plans, promotes, implements and oversees year-round and seasonal recreation programs and facilities. Community recreation programs for adults may include, but are not limited to, cultural arts, physical activities, health and wellness activities, adult athletics, human services, special events, trips, leagues, and special interest classes and programs. The Adult Program Coordinator manages the day-to-day operation and programming of the Senior Center and supports programs and services that maintain or improve the quality of life for older adults.

The coordinator shares information with staff, participants and advisory groups as it relates to issues and legislation affecting older adults. The Adult Program Coordinator also oversees the rental and use of City facilities, including community buildings, meeting and activity spaces, park facilities and picnic shelters. This posting is an INTERNAL only job posting.

Candidates not currently employed by the City of Whitewater will not be considered. Essential Duties and Responsibilities This list of duties and responsibilities is not all inclusive and may be expanded to include other duties and responsibilities, as management may deem necessary. Organizes and coordinates the implementation of community recreation and human service programs for adults.

Organizes classes, workshops, trips, leagues, special events and activities for adults of all ages, including specialized programming for older adults. Identifies community interests and develops new adult recreation opportunities based on participation, community needs, available resources and departmental priorities. Evaluates existing adult programs and recommends continuation, modification or discontinuation based on participation, community benefit and financial performance.

Manages day-to-day operations of the Senior Center: Develops policies, procedures, rules and regulations and ensures their enforcement and safe operation of the facility and the programs and activities. Manages the State Senior Center Accreditation through the Wisconsin Association of Senior Centers. Responds in a timely manner to public inquiries about adult recreation programs, Senior Center services and facility rentals made by telephone, email, website, U.S.P.S

correspondence, or during public meetings. Prepares written publicity for programs, facilities and rental opportunities. This includes, but is not limited to trip brochures, letters, posters, weekly news releases, flyers, newsletters and related communications regarding adult programs, Senior Center activities and City facilities.

Assists in managing social media accounts and effectively promotes programs and facilities. Seeks program partnerships, sponsorships and donations. Coordinates transportation services for adults for field trips and other excursions.

Provides information and referral services for a variety of social services to adults in the community. Performs a variety of miscellaneous duties such as answering and transferring incoming telephone calls and receiving and assisting visitors at the Starin Park Community Building. This includes but is not limited to, answering questions and providing basic customer service; responding to inquiries from employees, residents and others; running errands; picking up supplies as needed for activities; making arrangements for rental and use of City facilities; helping set up tables and chairs for classes and rentals; handling concerns regarding recreation programs, facility rentals or other public services.

Performs a variety of clerical functions as needed to accomplish work routines including filing; posting and or logging information to manual or automated records; processing mail; ordering supplies; duplicating and distributing materials; collating and assembling documents; photocopying, scanning; and other related functions. Oversees, coordinates, trains and evaluates recreation staff, including front desk staff, part-time employees, instructors and volunteers involved in the development and implementation of adult recreation programs, Senior Center activities and facility rentals. Assists in developing and administering budgets for adult recreation programs, Senior Center operations and facility rentals and monitors budget activities throughout the year.

Oversees the rental of City facilities, including community buildings, meeting and activity spaces, park facilities and picnic shelters, coordinates reservations, customer service, payments, facility access, staffing, inspections, cleaning, maintenance needs and related administrative functions. Reviews facility rental procedures, policies, fees and use and recommends changes that improve customer service, increase facility use, protect City Property and support departmental revenue. ADDITIONAL DUTIES AND RESPONSIBILITIES Recruits volunteers to facilitate and support programming.

Coordinates registration for adult recreation programs and Senior Center activities and assists with department registration. Serves as a member of various committees, as assigned. Coordinates regular Senior Center informational meetings.

Promotes interests and provides information regarding recreation programs, Senior Center services and facility rentals to school officials, other recreation officials, community service groups, other City departments, community organizations and the general public. Attends public meetings, as assigned. Purchases, requests, maintains and disseminates equipment and supplies to facilities, staff and instructors.

Implements and oversees volunteer drivers' training program. Teaches and/or facilitates classes, as needed. May drive recreation van or other City vehicle on field trips or other assigned purposes.

Performs other duties as assigned. Qualifications To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

Education and/or Experience Graduation from an accredited four-year college or university with a Bachelor's Degree in Recreation Management, Sports Management, Public Administration, Gerontology, or a closely related field is required. CPR/AED and First Aid Certified required or ability to be certified within 6 months of employment.

Valid State-Issued Driver's License Certified Park and Recreation Professional certification is preferred or ability to obtain certification within a reasonable period if eligible. Two (2) years of increasingly responsible related experience. Experience in adult recreation programming, Senior Center operations, facility rentals, event coordination or a related area is preferred.

Language Skills Ability to communicate orally and in writing with the department director and all staff and volunteers, other city departments, and officials, community groups, Chamber of Commerce, schools, local businesses, media representatives, renters and the public. Ability to analyze data and information using established criteria, to determine consequences and to identify and select alternatives. Ability to compare, count, differentiate, measure, copy, record and transcribe data and information.

Ability to classify, compute, tabulate, and categorize data. Ability to persuade, convince, and/or train others. Ability to advise and interpret how to apply policies, procedures and standards to specific situations.

Ability to utilize a variety of advisory data and information such code manuals, City ordinances, directories, State statutes, procedures, guidelines and non-routine correspondence. Ability to communicate clearly and professionally with City personnel, department personnel, program participants, renters and City residents. Mathematical Skills Ability to calculate percentages, fractions, decimals, volumes, ratios, present values, and spatial relationships.

Ability to interpret basic descriptive statistical reports. Reasoning Ability Ability to exercise the judgment, decisiveness and creativity required in situations involving the evaluation of information against established criteria. Ability to identify community needs, develop new recreation opportunities and evaluate existing programs and services.

Ability to work well under pressure and handle stressful situations, to organize work and set priorities, managing time and resources to meet deadlines and changing demands within the entire operation of administrative services, perform duties with a minimum of supervision. Other Qualifications Proficiency in typing, computers and electronic data processing and standard office equipment. Working knowledge of modern office practices and procedures and Microsoft Office, including Word, Excel, PowerPoint and Outlook.

Ability to interact effectively with the public by consistently demonstrating professionalism, courtesy, and respect while responding to questions, concerns, and requests in a positive, responsive, and solution-oriented manner. Ability to manage program and facility expenditures and revenues to meet or not exceed budget allotments, and to maintain accurate records and files. Ability to administer facility reservations and apply rental policies, fees, rules, and procedures consistently.

Artistic and creative skills desirable. Ability to perform cashier duties accurately. Ability to work effectively in cooperation with fellow employees as a member of the department team.

Ability to work in and maintain an environment that deals with sensitive and confidential information. Must possess a high level of integrity and adopt a professional work ethic. Bilingual background in Spanish is desired.

Supervision Received and/or Exercised Parks and Recreation Director is immediate Supervisor. Works collaboratively with Library, WUSD, UWW and other agencies as necessary. Supervises volunteers, interns, seasonal, and part-time employees.
