Position Overview
The Epic Trainer & Compliance Specialist plays a critical role in ensuring data integrity, operational consistency, and effective system utilization across NavSav. This position is responsible for training employees on Applied Epic, enforcing data standards, and supporting the agency's strategic reporting and dashboard initiatives.
This role bridges training, system administration, and compliance-ensuring that all data entered into Epic supports accurate reporting, reliable dashboards, and informed business decisions. The ideal candidate understands that clean data drives performance, retention insights, and growth strategy.
Key Responsibilities
Training, Onboarding & Adoption
  • Deliver structured training across Applied Epic, IVANS, and NavSav operational workflows
  • Lead onboarding for new hires, including:
    • Epic navigation and workflow training
    • Role-based process education (service, sales, account management)
    • Reinforcement of NavSav data standards and expectations
  • Configure new users in Epic:
    • User accounts and credentials
    • Role-based security and permissions
    • Servicing roles and commission agreements
  • Develop and maintain SOPs, training guides, and workflow documentation aligned with NavSav standards
  • Provide ongoing coaching to ensure proper system usage and adherence to workflows
  • Identify and retrain individuals or teams with inconsistent or incorrect data practices

Epic Configuration & Workflow Standardization
  • Configure and maintain Applied Epic to align with NavSav workflows and business rules
  • Standardize processes across all lines of business:
    • Personal Lines
    • Commercial Lines
    • Benefits (as applicable)
  • Support implementation of:
    • Workflow improvements
    • Automation opportunities
    • Data structure enhancements
  • Ensure consistency in how Epic is used across all locations and teams

Operational Support & Continuous Improvement
  • Act as a subject matter expert (SME) for Applied Epic and related systems
  • Provide day-to-day support for system questions, troubleshooting, and best practices
  • Identify inefficiencies in workflows and recommend scalable solutions
  • Support agency initiatives including:
    • Data migrations and acquisitions
    • Carrier consolidation efforts
    • System integrations
  • Reinforce NavSav's philosophy: the fewer hands that touch the data, the more accurate it becomes

Qualifications
  • 3+ years of hands-on experience with Applied Epic (required)
  • Strong understanding of insurance agency operations and policy lifecycle
  • Experience in training, onboarding, or instructional development
  • Deep understanding of data integrity and its impact on reporting and operations
  • Strong attention to detail and ability to enforce standards
  • Excellent communication and cross-functional collaboration skills

Preferred Experience
  • Experience building or supporting Epic dashboards and reporting
  • Familiarity with IVANS download and carrier workflows
  • Experience with SOP creation and process documentation
  • Background in operations, analytics, or system administration
  • Experience working in a multi-location or rapidly growing agency
