GCY Service Coordinator – Proposed Duties and Responsibilities

HGCY Daily Operational Execution

  • Conduct daily review of the Workforce Solutions Financial Services (WFS) Youth Services Smartsheet and initiate contact with assigned youth referrals within one (1) business day.
  • Monitor and respond to Board referral requests and ensure timely follow-up with referred youth participants.
  • Assist with tracking youth enrollments, training referrals, Paid Work Experience (PWE) applications, Summer Jobs applications, and other special projects as assigned.
  • Support management with scheduling interviews, coordinating meetings, facilitating team communications, and maintaining operational task tracking.
  • Monitor the HGCY shared inbox daily and ensure responses are provided within one (1) business day.

  • Support special projects, monitoring reviews, audits, contract deliverables, and program initiatives as assigned.
  • Coordinate internal workflow activities to improve efficiency, accountability, and program operations.
  • Serve as a point of contact for participant inquiries and provide timely assistance regarding program services, orientation schedules, and referral processes.
  • Ensure participants receive appropriate information regarding available services and next steps in the enrollment process.
  • Monitor FACS office actions and system-generated issues impacting participant services and program operations.
  • Maintain accurate electronic records and support document management processes within PandaDoc and other approved systems..

Recruitment & Outreach Support

  • Assist with outreach campaigns, informational sessions, hiring events, recruitment initiatives, and community engagement activities.
  • Coordinate participant registration for orientations, workshops, career exploration activities, enrollment events, and special initiatives.
  • Maintain outreach tracking logs, referral source reports, and participant engagement records.
  • Support communication and coordination with schools, training providers, employers, community organizations, and workforce partners.
