Role Description

This is a full-time, on-site position for a Legal Assistant/Law Clerk. We are seeking a highly organized, detail-oriented, and proactive professional to provide comprehensive support to counsel throughout all stages of a file, from intake through to resolution.


The ideal candidate will possess experience in family law, strong administrative and file management abilities, and the capacity to manage competing priorities in a fast-paced environment. This role requires a professional who takes pride in delivering exceptional legal and client support, while contributing to the efficient operation of the practice.


Primary Responsibilities

Court Filing & Case Management

  • File and process court materials through the appropriate Ontario Court platforms, including Case Center, Justice Services Online and Family Submissions Online.
  • Prepare, organize, and maintain court materials and legal documentation.
  • Monitor and track deadlines and limitation periods to ensure timely compliance with court requirements.


Document Preparation & Legal Support

  • Prepare Financial Statements including gathering financial disclosure and organizing supporting documentation such as banking records and tax returns.
  • Prepare Certificates of Financial Disclosure and Net Family Property Statements.
  • Draft legal correspondence and court documents, including Applications, Answers, Notices of Motion, and Affidavits.
  • Manage all aspects of undertakings, including maintaining undertakings charts, corresponding with counsel regarding outstanding undertakings, reviewing responses for compliance, and assisting clients with satisfying undertakings provided.


Client & File Coordination

  • Communicate professionally and effectively with clients, opposing counsel, court staff, and third-party professionals.
  • Collect, organize, and maintain client disclosure materials, including financial statements, tax returns, appraisals, and valuations.
  • Coordinate and schedule client questionings, mediations, and court appearances.
  • Provide reminders to clients on outstanding tasks and disclosure.


Core Competencies

  • Strong drafting skills and excellent written communication.
  • Exceptional attention to detail and ability to work under tight timelines.
  • Ability to work independently, prioritize tasks, and manage multiple files.
  • Dedicated client-focused approach


Qualifications:

  • 1+ years in reception, customer service, or administrative roles, preferably in the legal field
  • Knowledge of business and legal terminology
  • Minimum 1 year experience as a Family Law Legal Assistant/Clerk
  • Familiarity with the Family Law Rules, court processes, deadlines, and Ontario forms.
  • Proficiency in Microsoft Office, DivorceMate, Adobe Acrobat and Zoom
  • Exposure to Clio, Net Documents and Soluno is considered an asset
