Job Overview
Bigge Crane and Rigging Co. is seeking a dependable and detail-oriented Office Administrator to join our Gonzales, Louisiana branch (GNLA). This role is essential to the smooth daily operation of our branch, providing critical administrative support to the Branch Manager and Service Manager. The ideal candidate will be organized, proactive, and comfortable working in a fast-paced industrial environment where accuracy and follow-through are paramount.
Responsibilities
Field Service Administration
  • Process and reconcile expense reports submitted by field service technicians.
  • Ensure timely and accurate submission of technician expenses in accordance with company policy.

Service Billing & Collections
  • Review completed service work orders and prepare final bills for customer presentation.
  • Coordinate with the Service Manager to ensure billing accuracy prior to customer delivery.
  • Follow up with customers on outstanding service invoices to support collections.
  • Process and record service billing transactions in accordance with branch procedures.

Office & Phones
  • Answer and direct incoming office phone calls for both the service and rentals departments.
  • Provide professional, courteous assistance to customers and vendors by phone.
  • Print Bills of Lading (BOLs) and manage outgoing and incoming freight documentation.
  • Receive, log, and distribute incoming packages and deliveries.

Freight & Sales Support
  • Request freight bids from Dispatch (Houston) on behalf of sales representatives.
  • Build and prepare customer quotes and BELAs (Budgetary Equipment Lease Agreements) as directed.

Facility & Supply Management
  • Manage Amazon Business and other supply orders for the office and branch facility.
  • Monitor and replenish office supplies to ensure the branch is consistently stocked.

Employee Engagement & Events
  • Plan and coordinate monthly shop luncheons, including catering arrangements and logistics.
  • Support other team morale and branch event activities as needed

Requirements/Qualifications
Required
  • High school diploma or equivalent required; associate's degree or higher preferred.
  • Minimum 2 years of experience in an administrative, office coordinator, or similar role.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel).
  • Strong organizational skills with the ability to manage competing priorities.
  • Clear and professional verbal and written communication skills.
  • Ability to work independently with minimal supervision.

Preferred
  • Prior experience in a crane, rigging, heavy equipment, construction, or industrial services environment.
  • Familiarity with freight quoting, billing processes, or work order management systems.
  • Experience with Amazon Business, procurement portals, or facilities coordination.

Work Environment
This position is based on-site at our Gonzales, LA branch. The work environment includes a professional office setting adjacent to an active crane and equipment yard. The Office Administrator will interact regularly with field technicians, sales representatives, operations staff, customers, and vendors. A positive attitude, discretion, and team-first mindset are essential to success in this role.
