The role is being modeled after a C13 VP equivalent Project Manager position with added experience and responsibilities that include formal project management training, experience with event management and hospitality management software (Systems include Cvent, Rain Focus, Swoogo, Bizzabo.), and enterprise software transition that included AI modeling and/or applied AI capabilities.

Project Focus: End-to-end replacement of a third-party event management and hospitality systems with a custom, internally built solution using rapid AI driven agile development models.
Position Summary
We are seeking an experienced and highly structured Contract Project Manager to lead a critical technology transition. The successful candidate will apply formal project management education and proven agile methodologies (including applied AI development models) to replace an existing third-party meeting and event management system with a custom-built, AI oriented, in-house platform.
As a recognized authority in project execution, you will guide cross-functional teams, manage stakeholder expectations, support senior executive socialization, and drive the delivery of complex deliverables. This role requires a strong background in software development lifecycles, system migrations, and hands-on experience running projects using AI, Agile and Scrum frameworks.
Key Responsibilities
Project Leadership & Execution: Create and maintain detailed project plans. Manage the full lifecycle of the system replacement project, ensuring delivery within scope, budget, and timeline.
Third party systems/event management systems: Systems include Cvent, Rain Focus, Swoogo, Bizzabo.
Agile & Scrum Facilitation: Act as the Agile Project Lead/Scrum Master, facilitating key project calls and meetings including sprint planning, daily stand-ups, sprint reviews, and retrospectives.
Stakeholder & Scope Management: Collaborate closely with business stakeholders, product owners, engineering, and manufacturing/operations teams to define project scope, objectives, and user stories. Document and socialize meeting notes, next steps, and watch items.
Risk & Issue Management: Proactively identify, assess, and mitigate project risks, potential roadblocks, and dependencies before they impact delivery.
Progress Tracking & Reporting: Prepare, maintain, and submit clear and concise activity/progress reports, tracking project velocity and burn-down metrics against milestones.
Methodology & Best Practices: Define, teach, and enforce robust project management practices, ensuring the team adheres to established Agile/Scrum standards. Application of AI principles will be key to success.
Relationship & Trust Building: Foster a collaborative, high-performing team environment, promoting trust, open communication, and alignment among all project participants and sponsors.
