Position Summary

This role is responsible for managing and producing high-quality, compliant, and compelling responses to RFQs, RFPs, and other pursuit opportunities. The Senior Proposal Specialist will play a key role in coordinating with engineers, project managers, and firm leadership to develop strategic, client-focused submissions that position the firm competitively in the marketplace. This is a hands-on, individual contributor role that requires strong writing skills, attention to detail, and the ability to manage multiple deadlines in a fast-paced environment.

ESSENTIAL FUNCTIONS

Proposal amp; Pursuit Management
  • Lead and manage the development of RFQs, RFPs, and related pursuit submissions from kickoff through delivery
  • Review solicitation requirements and develop organized compliance checklists and proposal outlines
  • Draft, edit, and tailor technical narratives, executive summaries, and project descriptions
  • Collaborate with engineers, project managers, technical staff, and leadership to gather content and ensure accurate representation of qualifications
  • Ensure timely submission of proposals in accordance with client requirements, company standards, and deadlines
  • Participate in pursuit strategy meetings and support interview preparation as needed
  • Content Development amp; Brand Alignment
  • Maintain and update proposal templates, resumes, project sheets, and boilerplate content
  • Ensure brand consistency, messaging alignment, and high-quality presentation across all submissions
  • Contribute to continuous improvement of proposal content libraries and best practices
  • Support development of marketing collateral related to pursuits, including qualifications packages and presentations
Process amp; Systems Support
  • Utilize established RFQ/RFP management processes and internal documentation systems to manage proposal development and ensure compliant submissions
  • Maintain well-organized proposal records, including submission materials and performance metrics, to support evaluation and continuous improvement
  • Assist in tracking pursuit outcomes and contributing to win/loss analysis discussions
  • Identify opportunities to improve efficiency, organization, and overall proposal quality
REQUIRED EDUCATION / EXPERIENCE
  • Bachelor’s degree in Marketing, Communications, English, Journalism, or related field preferred
  • Minimum 3+ years of experience in proposal development within the AEC industry preferred
  • Demonstrated experience managing RFQs and RFPs for public and/or private sector clients
  • Strong writing, editing, and proofreading skills
  • Exceptional attention to detail with a high level of accuracy in reviewing compliance requirements and technical content
  • Ability to interpret technical information and translate it into clear, client-focused narratives
  • Strong organizational and project management skills with the ability to manage multiple concurrent deadlines
  • Proficiency in Microsoft Office (Word, PowerPoint, Excel); familiarity with Adobe InDesign preferred
  • Experience working within CRM or structured proposal management systems
  • Strong interpersonal and collaboration skills
