Position Summary

The HR Clerk provides administrative and clerical support to the Human Resources department by maintaining employee records, processing new hire documentation, assisting with onboarding activities, and performing data entry and filing functions. This role requires strong attention to detail, organizational skills, and the ability to handle confidential information while supporting daily HR operations in a fast-paced environment.

Requirements

Key Roles & Responsibilities

  • Enter, update, and maintain employee information in ADP Workforce Now or a similar HRIS system.
  • Maintain employee personnel files and ensure records are organized, accurate, and up to date.
  • File, scan, upload, and archive HR documents in electronic and paper filing systems.
  • Collect and review new hire paperwork to ensure documents are complete and properly submitted.
  • Assist with I-9 completion, E-Verify processing, and onboarding documentation.
  • Prepare onboarding packets and distribute company policies, forms, and employee materials.
  • Track the receipt of required employment documents and follow up with employees as needed.
  • Assist with scheduling new hire orientations and onboarding activities.
  • Respond to routine employee questions regarding forms, policies, benefits contacts, and HR processes.
  • Maintain HR spreadsheets, logs, and reports using Microsoft Excel.
  • Assist with employee status changes, including updates to personal information, job titles, and department assignments.
  • Support HR staff with document preparation, correspondence, and administrative projects.
  • Maintain strict confidentiality of employee and company information.
  • Manage multiple tasks while maintaining a high level of accuracy and organization.
  • Travel occasionally, as needed, to assist with onboarding and new hire paperwork at company locations throughout Virginia, including Sterling, Fredericksburg, and Richmond.
  • Perform other duties as assigned.

Required Qualifications

  • Bilingual in English and Spanish.
  • High School Diploma or GED required.
  • Previous clerical, administrative, customer service, or office support experience.
  • Basic computer skills and proficiency with Microsoft Office, including Excel, Word, and Outlook.
  • Strong data entry skills with a high degree of accuracy and attention to detail.
  • Excellent organizational and time management skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Strong verbal and written communication skills.
  • Valid driver's license and reliable transportation.
  • Ability to work independently and as part of a team.

Preferred Qualifications

  • Experience working in a Human Resources, administrative, or office support role.
  • Experience with ADP Workforce Now or a similar HRIS system.
  • Experience processing new hire paperwork and maintaining employee records.
  • Construction industry experience.
