The Supervisor, Patient Access is responsible for overseeing the daily operations of the admissions department, ensuring efficient patient intake and registration functions of the facility. ensuring ensuring efficient patient intake and registration processes. This role supervises patient access staff, provides training and support, and ensures compliance with regulations and hospital policies. The Supervisor, Patient Access works closely with clinical and administrative teams to facilitate a seamless patient experience while maintaining high standards of customer service and accuracy in patient data collection.
Essential Functions
  • Supervises and manages admissions and registration operations and staff, ensuring adherence to department policies, procedures, and performance standards.
  • Provides training, coaching, and professional development opportunities to enhance staff skills and knowledge.
  • Oversees the patient intake and registration process, ensuring accurate and timely collection of required information.
  • Ensures compliance with regulatory requirements, hospital policies, and best practices for patient data handling.
  • Facilitates effective communication between the patient access department and clinical teams to ensure a smooth patient flow.
  • Addresses patient concerns and complaints in a professional manner, working toward resolution in a timely fashion.
  • Monitors and enforces quality assurance programs, identifying and implementing process improvements as needed.
  • Oversees insurance verification and financial clearance processes, referring uninsured or underinsured patients to financial counselors.
  • Works with leadership to develop and maintain staffing schedules that ensure adequate department coverage.
  • Collects co-payments and ensures proper documentation of financial transactions related to patient admissions.
  • Performs other duties as assigned.
  • Maintains regular and reliable attendance.
  • Complies with all policies and standards.
Leadership Responsibilities
  • Supervision and Staff Management
    • Supervises, trains and oversees departmental staff.
    • Schedules employees to ensure effective use of resources. Consults with Manager or Director on staffing issues.
    • Assists with and contributes to performance evaluations and goal setting.
  • Strategic Planning and Financial Oversight
    • Assists in managing departmental budget ensuring cost-effective operations while maintain high quality service.
    • Monitors expenditures, ensuring cost-effective delivery of services.
    • May contribute to evaluation and implementation of new technologies to enhance operational efficiency.
    • May contribute to development of departmental policies, procedures and protocols.
  • Quality Assurance and Regulatory Compliance
    • Ensures compliance with all relevant regulatory bodies.
    • May participate in audits, inspections and accreditation processes as applicable.
    • Follows established quality control practices to ensure accuracy, consistency and safety.
  • Collaboration and Communication
    • Works closely with leadership teams to coordinate and improve service delivery.
    • Stays up-to-date with industry advancements, new technologies, and regulatory changes.
  • Staff Responsibilities
    • May work in a staff role, when required. Ensures that duties and responsibilities are fulfilled while meeting all competencies established for that job.
Qualifications
  • Associate Degree or higher preferred
  • 1-2 years of related experience in healthcare profession required
  • 1-2 years of previous leadership experience preferred
