Job description

Position Summary: The Sales & Administrative Support Specialist plays a key role in supporting our Business Manager, outside sales team, and customers. This position is responsible for sales order administration, customer support, reporting, and internal coordination to ensure orders are processed accurately and efficiently while helping drive business growth.

Essential Duties and Responsibilities: Include the following, as well as other duties that may be assigned.

  • Enter and process customer quotes, sales orders, and purchase orders.
  • Create and maintain item codes and customer records.
  • Process special order requests, including OPC orders.
  • Manage order cancellations, revisions, and other sales order maintenance.
  • Monitor and maintain open orders using Order Desk and SYSPRO to ensure timely completion.
  • Assist the Business Manager and sales team with reporting, analytics, and administrative projects.
  • Source materials, verify inventory availability, and support product inquiries.
  • Coordinate labor cost estimates with internal fabrication departments.
  • Serve as a primary point of contact for customer inquiries regarding order status, shipping, tracking, pricing, and product information.
  • Process credit card payments and coordinate with Accounts Receivable to resolve credit holds and order releases.
  • Provide customers with certifications, technical data sheets, samples, and marketing materials.
  • Coordinate factory drop shipments and communicate required information for order processing.
  • Resolve order discrepancies involving pricing, quantities, and shipping issues.
  • Generate and manage Return Material Authorizations (RMAs) and follow up to ensure timely resolution.
  • Provide customer history and supporting documentation to internal departments as needed.
  • Maintain accurate records across company systems.
  • Collaborate with sales, operations, accounting, fabrication, and customer service teams to deliver exceptional customer support.
  • Perform additional administrative and sales support duties as assigned

Education and Experience: (Required and preferred educational and experiential qualifications)

  • High School Diploma or equivalent
  • 1-3 years’ experience in an Sales Administrator role

Knowledge, Skills, and Abilities:

  • Proficiency in Microsoft Office Suite (Word, Outlook, Excel)
  • Proficiency in standard office and database programs/equipment
  • Knowledge of Order Desk and SYSPRO
