Job description

Administrative Support

The Administrative Support role provides administrative and operational support to the Operations Support Manager and assists with employee onboarding, workforce readiness, compliance tracking, site access, training coordination, and office administration. This position serves as a liaison between employees and internal departments to ensure a smooth onboarding experience and support successful deployment to data center project sites.

Key Responsibilities
  • Assist with onboarding activities from offer acceptance through deployment.
  • Schedule orientations, training sessions, and onboarding meetings.
  • Maintain onboarding records, checklists, and employee documentation.
  • Track onboarding progress and communicate outstanding requirements.
  • Monitor training, certification, and compliance requirements.
  • Coordinate badge requests, site access approvals, and credential tracking.
  • Maintain accurate employee records and workforce databases.
  • Assist with compliance reporting and audit preparation.
  • Support workforce mobilization and deployment logistics.
  • Coordinate with IT to ensure employees receive required equipment and system access.
  • Serve as a point of contact for employee onboarding and readiness questions.
  • Support employee engagement initiatives and help foster a positive work culture.
  • Provide day-to-day administrative support to the Operations Support Manager.
  • Manage office supplies, filing systems, and departmental records.
  • Coordinate meetings, calendars, and communications.
  • Prepare reports, spreadsheets, presentations, and other documentation.
  • Support special projects and operational initiatives as assigned.
Qualifications
  • 5+ years of administrative, HR, operations support, or related experience preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong organizational, communication, and time-management skills.
  • Ability to handle confidential information with professionalism and discretion.
  • Experience supporting construction, industrial, or data center operations is a plus.
Success Measures
  • Timely onboarding and deployment of new hires.
  • Accurate employee records and compliance tracking.
  • Efficient site access and badge-processing turnaround times.
  • Effective administrative and office support.
  • Positive employee onboarding experience.
