Job description

We are looking for a detail-oriented Administrative Assistant to support daily office operations in California. This is a Contract position suited for someone who is organized, detail-oriented, and comfortable managing a mix of front-desk, clerical, and communication tasks. The ideal candidate will help keep administrative processes running smoothly while providing dependable support to staff and visitors.
Responsibilities:
• Manage front-office activities by greeting visitors, directing inquiries, and maintaining a well-organized administrative environment.
• Handle incoming phone calls promptly, provide accurate information, and route messages to the appropriate team members.
• Perform data entry and maintain records with a high level of accuracy and attention to detail.
• Support general office administration, including filing, document preparation, and coordination of routine clerical tasks.
• Prepare, record, and distribute meeting notes to ensure clear communication and follow-up on key discussion points.
• Assist with scheduling, calendar coordination, and other administrative support duties as needed.
• Organize and update office documentation to help ensure information is accessible and current.

• At least 2 years of experience in an administrative support, office assistant, or similar role.

• Demonstrated ability to manage inbound calls in a courteous and attentive manner.

• Experience with data entry and maintaining accurate administrative records.

• Strong organizational skills with the ability to handle multiple tasks and priorities effectively.

• Proficiency in general office procedures and routine clerical responsibilities.

• Experience supporting reception or front-desk operations in an office setting.

• Ability to take clear and accurate meeting minutes and communicate information effectively.
