Exciting Opportunity as an Administrative Assistant at General Equipment & Supply

We are seeking a highly organized and detail-oriented Administrative Assistant to support daily office operations and provide administrative assistance to management, our customers and staff. The ideal candidate will possess strong communication skills, excellent time management abilities, and the capacity to efficiently manage multiple priorities in a fast-paced environment.

Key Responsibilities

  • Manage daily office operations, administrative functions, and workflow coordination to ensure a productive and efficient work environment.
  • Serve as the primary point of contact for phone calls, emails, visitors, and internal communications, providing exceptional customer service and support.
  • Maintain office files, records, databases, and confidential business documents with a high level of accuracy and discretion.
  • Coordinate calendars, schedule appointments, meetings, conference calls, and travel arrangements for executives, managers, and staff.
  • Prepare, edit, and distribute reports, correspondence, presentations, meeting agendas, and other business documents.
  • Provide administrative support to C-Suite executives, department managers, and business owners, assisting with strategic initiatives, special projects, and daily operational needs.
  • Support accounting functions, invoicing, bill collections, accounts receivable, and fleet maintenance.
  • Assist Human Resources with employee onboarding, new hire documentation, benefits administration, personnel records, compliance tracking, and employee engagement activities.
  • Order, maintain, and monitor office supplies, equipment, and vendor relationships to ensure uninterrupted business operations.
  • Collaborate with cross-functional teams and leadership to improve administrative processes, enhance efficiency, and support organizational goals.
  • Maintain professionalism, confidentiality, and strong organizational skills while managing multiple priorities in a fast-paced environment.

Requirements

  • High school diploma or equivalent required; associate's or bachelor's degree preferred.
  • Minimum of 3 years of administrative experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication skills.
  • Ability to maintain confidentiality and professionalism.
