Major Duties

Under the general supervision of the Director of Finance and Operations, the Administrative Support Assistant provides general administrative support for the Department of Health Sciences, including answering inquiries, handling records, maintaining electronic filing systems, assisting with the preparation of reports, operating office equipment and records, distributing meeting minutes, and creating and distributing certificates of completion.

  • Provides administrative support to the Director of Development (DoD), including scheduling appointments with internal university personnel and external community members, preparing meeting materials, and ensuring readiness for meetings, events, and tasks.
  • Updates and maintains the College scholarship spreadsheet; assists the Director of Development with donor information; and serves as the departmental point of contact regarding scholarship award status updates.
  • Uses the University Advancement database (Raiser's Edge) to create and update records, submit Top Desk Requests, add actions, and upload donor-related information.
  • Assists with coordinating daily office operations to support the efficient functioning of the department.
  • Assists with logistical support for donor functions and events, including hospitality arrangements, setup, and breakdown.
  • Performs other duties as assigned.

Qualifications

  • Equivalent to three (3) years of full-time, general office clerical work that has provided the applicant with the knowledge and abilities listed.
  • Equivalent to full-time college or university education/vocational school training in business or job-related field may be substituted for up to two (2) years of the required experience on a year-for-year basis.

 

Knowledge, Skills, & Abilities

  • Knowledge of administrative and academic office practices, including records and electronic filing, student and faculty form processing, report preparation, meeting documentation, graduate application support, departmental communications, calendars, listservs, webpage updates, and university standards.
  • Ability to organize and complete detailed assignments accurately and efficiently, including coordinating daily office activities, maintaining program information, preparing certificates and meeting minutes, communicating with students and faculty, supporting applicant notifications, and assisting with recruitment and outreach events.
  • Knowledge of advancement and donor-support practices, including scholarship tracking, gift and donation documentation, donor records, development and foundation forms, expense processing, travel reimbursements, and the preparation of background materials for development-related meetings.
  • Ability to coordinate complex administrative activities with accuracy, discretion, and timely follow-through, including scheduling, event and travel logistics, correspondence with internal and external constituents, routing documents for approval, maintaining webpages and databases, and updating records in Raiser's Edge.

 

Pay, Benefits, & Work Schedule

  • The university offers an excellent benefits package, including but not limited to: medical, dental, vision, retirement & savings, tuition waiver, and more.
  • Classification: 1032 / Administrative Support Assistant / 2
  • The anticipated HIRING RANGE is $3565 - $3783 per month, dependent on qualifications and experience. The salary range for this classification is: $3565 - $5092 per month.
  • HOURS: Full Time; 40 hours per week; Monday through Friday. May include evenings and weekends.  
  • This is a Regular position with a one-year probationary period. 
  • The position is currently hybrid (4 days in office, 1 day remote); however, this is subject to change based on student and/or operational needs.
