Position Summary
The Program Coordinator II provides administrative, operational, and educational support for the Department of Radiation Oncology's Medical Physics Program and CAMPEP-accredited Medical Physics Residency Program. Under the direction of the Operations Manager, this position coordinates program activities, accreditation requirements, educational initiatives, and faculty support while serving as a key liaison among faculty, residents, trainees, and institutional partners.
General Responsibilities
  • Under minimal supervision, coordinates administrative, personnel, educational, and logistical support for complex departmental programs.
  • Coordinates day-to-day operations of assigned programs and initiatives.
  • Maintains program documentation, records, schedules, and reports.
  • Serves as a liaison between faculty, trainees, departmental leadership, and institutional offices.
  • Coordinates meetings, events, and special projects.
  • May assist with purchasing, travel, and fiscal processes.
  • Supports program planning, process improvement, and compliance activities.
  • Maintains databases and prepares reports related to program operations.
  • May assist with recruiting activities.
  • May participate in program planning and in setting program objectives.
  • May supervise support staff.

Primary Focus Areas
Medical Physics Faculty Support
  • Provides administrative support to Medical Physics faculty and staff, including scheduling, travel, meetings, onboarding, and academic activities.
  • Assists with faculty recruitment, appointments, promotion materials, and professional development activities.

CAMPEP-Accredited Medical Physics Residency Program
  • Coordinates recruitment, interviews, onboarding, scheduling, evaluations, and graduation requirements for physics residents.
  • Maintains records and documentation required for accreditation, annual reviews, and program reporting.
  • Supports residency leadership with accreditation activities, committee meetings, and continuous program improvement initiatives.

Educational Program Coordination
  • Coordinates educational conferences, lectures, seminars, and trainee activities.
  • Maintains educational calendars, records, and training documentation.
  • Supports curriculum administration and educational program logistics.

Departmental Operations Support
  • Assists with operational initiatives, quality improvement projects, and departmental reporting.
  • Coordinates meetings, presentations, and special projects supporting the Medical Physics division.

Cross-Coverage Responsibilities
  • Provides backup support for physician residency and other departmental educational programs as needed.
  • Assists with departmental events, accreditation activities, and special projects.

Hourly Range: $18.35-$29.80

Bachelor's degree in a related field and one (1) year of related experience required.
