Job description

General Description
The Office Manager position will be the point of contact for employees and customers. This role will provide exceptional customer service, answer the phones, and assist with both employee and customer relations. The Office Manager will handle the routine office work and administrative responsibilities.
Duties
  • Provide support to Project Managers, Area Manager, and Operations as required.
  • Manage a strong working relationship with various divisions and corporate administrative departments.
  • Manage new employee hire forms (applications, assessments, CDL files, Equifax, drug testing, OSHA 10, changes and terminations, employee discipline, benefit questions, tracking employee records, EEO mailings, postings and tracking).
  • Assist the Delegation Safety Manager in implementation of safety incentive program, OSHA reporting and maintaining CDL driver files, driver records, and Smith Safe System.
  • Responsible for record storage and audit prevention.
  • Ability to maintain confidentiality.
  • Other duties as assigned to include, but not limited to, Payroll, Accounts Payable, Accounts Receivable, Fuel & Equipment Accounting, Job Cost Accounting, and Petty Cash.

  • Education and Experience. This position typically is not an entry-level job, as it requires demonstrable previous experience as an Office Manager. A high school diploma or General Education Degree (GED) is required.
  • Knowledge, Skills and Abilities.
    • Minimum 7 years of experience in an administrative/support role.
    • Strong customer service skills.
    • Working knowledge of Excel, Word, Outlook, and PowerPoint.
    • Strong prioritization and organizational skills; detailed oriented.
    • Excellent verbal and written communication skills.
  • Physical Demands. The following physical demands are representative of those that must be met by an Office Manager to successfully perform the essential functions of this job.
    • Required to sit; talk or hear, both in person and by telephone; operate standard office equipment; and reach with hands and arms.
    • The employee may regularly be required to walk or stand and occasionally be required to lift up to 10 pounds.
    • Specific vision abilities required by this job include close vision, distance vision, depth perception, color vision, and the ability to adjust focus.
    • Dress code is business casual.
  • Work Environment. The work environment characteristics described below are representative of those that an Office Manager encounters while performing the essential functions of this job.
    • Work generally is performed in an office environment, although periodic visits to the various construction sites may be required.
    • Noise level in the typical office work environment is quiet.
    • Work in the field may involve a variety of substances commonly found on construction sites such as form oil, grease, curing compounds, gasoline, diesel fuel and ready mixed concrete.
