Position Description: Administrative AssistantTriumph Youth Services is a residential treatment center with a fully accredited, non-profit Jr./Sr. High School, Triumph Academy. Triumph is team centered in all areas of the organization from administration to clinical treatment and education. The Administrative Assistant to the Administrative Manager works closely with the executive, administrative and treatment teams on current goals. The position handle staff files and quality assurance. The specific responsibilities include, but are not limited to the following:HR/Staff Support (65%)Coordinate New Hire paperwork, training and orientationEnsure all necessary paperwork, such as the I9 and BCI, are completed before/upon employee hire date (including weekly review of DACS)Prepare, Track and Notify employee and independent contractor licenses and trainingMaintain Employee files and training materialsTrack employee birthdays, tenure, awardsCorrespondence with all staff and notifications, including changes in policies & proceduresCreate and maintain checklist to support staff processesSupport Time & Attendance prep for pay dayMaintain program forms for staff use and staff mailboxesSupport Monthly staff meetings and in-person trainings (including preparation)Take minutes for Admin Team Meeting – including quality assurancePrepare for regulatory Audits, reports and requirementsOther duties as assignedProgram Support (35%)Customer Service - Answer phone, manage front officeUpdate the Triumph Calendar with appointments and activitiesOrder and maintain suppliesFood Coordination and purchasingSupport Health and Safety TeamSupport UA collectionsSupport the annual newsletter and other quality assurance requirementsSupport Accounts PayableSupport Administrative, Treatment and Executive TeamsMaintain confidentiality of staff, students, etc.Other duties as assignedRequirementsExcellent communication skillsExcellent customer serviceAbility to work independently within a team oriented organizationBS degree or 3-7 years of experience in related fieldIntermediate or advanced level of MS Word and ExcelAttention to detailAbility to maintain confidentiality of staff and clientsMinimum Qualifications/Competencies Core Competencies: Working with others, providing appropriate services, assessing strengths and needs, advocating, providing individualized care, documentation, behaving professionally and ethically and professional developmentMust be 21 years of age or older unless otherwise specified in policy and procedure, peer staff, and/or approved by administrationMust pass and maintain background screeningMust respect authorityMust possess a valid driver’s license and update personal vehicle insuranceMust have three written reference letters or contacts from persons of no relationMust be CPR and First Aid within 30 days of hireMust have valid Food Manager’s permit within 2 weeks of hireMust submit to and comply with random drug testingMust comply with all State, Federal, and Triumph requirements for this position $16.00 - $17.00 Hourly
