Job description

General Summary:

The Administrative Assistant assigned to the Appellate Division reports to one Bureau Chief and one Division Chief, provides administrative support to thirteen appellate prosecutors, and assists one intern.

This position performs a wide range of administrative and legal support duties, including serving as a receptionist, preparing and formatting legal documents, managing correspondence, maintaining clerical and electronic filing systems, and providing general administrative support. The Administrative Assistant is responsible for maintaining accurate records, including electronic files related to direct appeals, and ensuring the timely receipt, distribution, and tracking of correspondence, court opinions, and other case-related materials.

When needed, the Administrative Assistant assigned to the Appellate Division provides telephone coverage for the Post Conviction Writs (PCW) Division's Administrative Assistant. This position is also responsible for maintaining office supply inventory, coordinating office supply orders, office equipment, and arranging service when necessary.

Duties & Responsibilities:

  • Receive electronic case files and save them to the appropriate K Drive folders
  • Create and maintain tickler files to monitor deadlines and ensure timely completion of required documents.
  • Download, upload, organize, and maintain records within the Appellate Division folders and the HCDAO main page.
  • Update and maintain the Appellate Division database, including oral arguments, opinions, hand-downs and mandates.
  • Serve as the primary point of contact for incoming telephone calls and visitors.
  • Research and review a high volume of filing notices to identify potential appellate files.
  • Prepare and maintain daily and monthly reports to support division.
  • Coordinate and maintain the division's meeting calendar, including scheduling meetings and providing administrative support for division activities.

  • Proficiency in using Microsoft Office and other computer applications
  • Excellent organizational and time management skills

Hours:

  • This is a full time, in-person position. Days and hours of work are typically Monday through Friday, 8:00 a.m. to 5:00 p.m. Hours may vary based on the business needs of the department.

Required Education/Experience:

  • High school diploma or GED required
  • Administrative assistant experience

Salary (Starting):

  • $22.44 hourly/ $46,675.20 annually
  • $27.18 hourly / $56,534.40 annually w/ College Degree
