Job Title: Field Administrative Assistant (Construction Operations)
Role Overview
We are seeking an organized, resourceful, and energetic Field Administrative Assistant to support our Site Superintendents and field project teams. In this role, you will play a pivotal part in managing on-site administrative operations, including union workforce onboarding, weekly payroll processing, resource tracking, badge coordination, and general jobsite office support.
This is a dynamic, fast-paced on-site role combining human resources coordination with project administration. You will serve as the primary administrative point of contact for field staff, ensuring compliance with I-9 and safety standards, verifying daily attendance, managing timecards, and coordinating project logistics. Key Responsibilities
Union Workforce Onboarding & Compliance
• New Hire Processing: Facilitate union workforce onboarding, ensure strict compliance with I-9 documentation requirements, and manage site orientation and badging.
• Onboarding Support: Guide new employees through digital orientation videos, system logins, and tablet-based onboarding tools.
• Records Management: Maintain accurate, up-to-date digital and physical records of all field onboarding processes.
Payroll & Timecard Management
• Timecard Processing: Review, enter, and submit weekly timecards for field staff, proofreading entries meticulously to prevent payroll errors.
• Payroll Reporting: Generate and distribute payroll reports covering incentives, per diems, and adjustments; manage paycheck sorting and distribution.
• Personnel Changes: Handle field dispatching requests, terminations, and personnel action updates (PARs).
Resource Tracking & Site Administration
• Workforce Tracking: Track daily attendance and workforce resources on site using specialized workforce management and project tracking software.
• Daily Rollcalls: Conduct daily rollcalls and verify on-site staff presence for accurate labor reporting.
• Field Support: Consolidate and submit daily progress reports, manage basic on-site IT requests, maintain safety training logs, order site supplies, and coordinate catering for meetings.
Qualifications & Requirements
Minimum Qualifications
• Education: High School Diploma or GED required (Associate's or Bachelor's degree in a related field is a strong plus).
• Experience Baseline: Minimum of 3+ years of professional administrative experience (previous experience in a construction, engineering, or industrial jobsite environment is strongly preferred).
• Technical Mastery:
oStrong proficiency in Microsoft Office Suite, with advanced skills in Excel, Word, and Outlook.
oFamiliarity with electronic payroll management, timecard entry, and workforce tracking software.
oWorking knowledge of I-9 verification rules and general HR onboarding protocols.
• Core Competencies: Resourceful problem-solver capable of adapting to changing project needs; exceptional organizational skills and attention to detail; strong communication skills for interacting effectively with both field craft workers and corporate office personnel.
