SARA is looking for a remarkably talented, motivated, and experienced Administrative Assistant/Receptionist to support activities out of our Colorado Springs location. The candidate will have the opportunity to grow and learn with talented engineers, physicists, and technicians on long-standing programs and new programs supporting our customers.

The Administrative Assistant/Receptionist provides essential support to the Security Department, ensuring the smooth operation of reception functions while maintaining organizational compliance and safety standards. This role involves managing visitor access and incoming calls, security documentation, tracking training requirements, and assisting with various administrative tasks related to security operations.


Core Responsibilities:

  • Security Operations Support
    • Manage reception operations, including visitor access control and incoming calls
    • Control employee temporary badge usage: direct sign-in and sign-out process, conduct regular inventories, and address discrepancies related to badge management
    • Maintain the visitor calendar, coordinating vendor visits with Facilities
    • Organize visitor parking during large events
    • Serve as point of contact for security-related inquiries from employees, providing information and guidance on security policies and procedures
  • Training Coordination and Tracking
    • Develop and maintain a comprehensive security training schedule
    • Track employee completion and maintain records, ensuring compliance with training requirements and deadlines
    • Assist in creating training materials and resources related to security policies and best practices
  • Collaboration and Communication
    • Collaborate with various departments to facilitate training and security awareness initiatives
    • Communicate effectively with employees regarding security updates, training sessions, and policy changes
  • Administrative Support
    • Perform general administrative tasks, including maintaining calendars, scheduling meetings, and organizing events related to security training
    • Assist with the Security new hire process, including organizing folder structure and ensuring correct filing of documentation
    • Revise Security SharePoint content regularly
    • Maintain personnel information within SIMS Security Database
    • Assist with presentations and materials for security briefings and training sessions

Requirements:

  • High School Diploma or equivalent
  • 2 – 7 years of administrative / reception experience
  • Strong organizational skills with ability to manage multiple tasks and priorities
  • Excellent verbal and written communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software
  • U.S. citizen with the ability to obtain and maintain U.S. government security clearance
  • May require light physical effort, involving standing, sitting and use of hands while performing duties, carrying or lifting up to 20 pounds
  • Working environment is indoor, moderately quiet, reasonably clean, well-lit, and well-ventilated; moderate physical hazards may exist

Preferred Qualifications:

  • 8 – 10 years of relevant experience
  • Experience working in a DoD contractor environment
  • Active Secret security clearance
  • Knowledge of Industrial Security disciplines (PERSEC and Physical Security)

Pay Range

Salary at SARA is determined by various factors, including but not limited to location, the individual’s particular combination of education, knowledge, skills, competencies, and experience, as well as contract-specific affordability and organizational requirements. The projected compensation range for this position is $18.50 to $24 (hourly USD). The estimate displayed represents the typical salary range for this position and is just one component of SARA’s total compensation package for employees. Positions are on-site, unless indicated otherwise.
