Administrative Assistant Intern (Season Long)
We are seeking a motivated and detail-oriented Administrative Assistant Intern to provide administrative and operational support to members of the leadership team and other key personnel. This internship offers hands-on exposure to executive operations, cross-functional collaboration, and professional workplace practices in a fast-paced environment. The intern will assist with scheduling, organization, expense tracking, and event support while gaining valuable experience in business operations and administrative excellence.
The ideal candidate is eager to learn, highly organized, and interested in developing foundational administrative, communication, and time-management skills. This role provides an opportunity to contribute meaningfully to daily operations while building professional experience and confidence.
Key Responsibilities
Calendar Support & Scheduling
  • Assist with maintaining calendars for leadership team members by helping schedule meetings and coordinating logistics.
  • Communicate with internal teams to confirm meeting details and ensure accurate calendar entries.
  • Support preparation of agendas and meeting reminders as needed.

Expense & Administrative Support
  • Assist in gathering receipts and preparing basic expense reports under supervision.
  • Help ensure documentation is organized and aligns with company policies.
  • Maintain accurate records and files related to expenses and administrative tasks.

Travel & Logistics Coordination
  • Support travel coordination by assisting with booking research, compiling itineraries, and organizing travel details.
  • Help ensure leadership and team members have necessary information for business travel, events, and game days.

Game Day & Event Support
  • Provide on-site or preparatory support for game days and events as needed.
  • Assist with ticketing coordination, guest logistics, and preparation of materials or gifts for clients and partners.
  • Help ensure a positive and organized experience for attendees.

Meeting & Presentation Preparation
  • Assist with organizing meeting materials, presentations, and background information.
  • Help compile client or partner bios and supporting documents to ensure leaders are well prepared.

Departmental & Cross-Functional Support
  • Serve as a flexible team resource, supporting various departments with administrative tasks as needed.
  • Assist with projects during peak periods to help maintain operational efficiency.

Qualifications
  • Currently pursuing or recently completed a Bachelor's degree in Business Administration, Management, Communications, or a related field.
  • Strong organizational skills with attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
  • Proficiency or working knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Willingness to learn tools such as Concur or other travel and expense systems (training provided).
  • A positive, proactive attitude with a strong desire to learn and support team success.
  • Professional discretion when handling confidential or sensitive information.
  • Availability to support game days, events, and occasional weekends as needed.
