Description

Job Summary: The Fleet Compliance Associate provides administrative support for NEFCO's driver compliance and onboarding programs. This position assists with driver hiring, Driver Qualification File (DQF) management, regulatory recordkeeping, and compliance documentation. The Associate works closely with the Fleet Compliance Manager and Specialist to help ensure accurate and timely completion of driver-related compliance requirements while gaining knowledge of DOT and FMCSA regulations. This role serves as an entry-level opportunity for an individual interested in developing a career in fleet compliance. This position is intended to develop into a hybrid schedule, as required, working out of NEFCO's CT Headquarters.


Job Duties:

  • Assist in onboarding driver hires through the Foley background screening and DQF systems.
  • Coordinate with Recruiting to ensure all required hiring paperwork is completed and submitted.
  • Maintain communication with branch managers regarding driver onboarding status.
  • Create, maintain, and update driver qualification files (DQFs).
  • Ensure driver records remain current and compliant with company and regulatory requirements.
  • Enter new drivers into company databases and maintain accurate driver rosters.
  • Track and communicate upcoming driver license and medical card expirations.
  • Enter and maintain driver information in Geotab and other fleet systems.
  • Assist with vehicle and driver compliance recordkeeping.
  • Request and collect required documentation from branch personnel and logistics managers.
  • Distribute insurance cards and compliance-related documents as needed.
  • Assist with fuel card administration, including driver setup, replacement requests, and troubleshooting.
  • Assist with Best Pass account maintenance.
  • Process accident documentation and enter claims information into designated systems.
  • Assist with tracking driver training completion and maintaining training records.
  • Support the Fleet Compliance Team with compliance initiatives and special projects.
  • Other duties as assigned.

Requirements

Qualifications:

  • Administrative, transportation, logistics, HR, or compliance experience preferred.
  • Familiarity with DOT and FMCSA regulations is a plus; willingness to learn is required.
  • Strong organizational and recordkeeping skills
  • Proficiency with Microsoft Office Suite
  • Excellent communication and customer service skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • High drive for results and discipline in execution
  • Ability to analyze data and report findings and recommendations
