Contract Administration Assistant

The CA (Contract Administration) Administrative Assistant is responsible for supporting the Contract Administration process. The CA Administrative Assistant is the liaison between the contractors and the area operations personnel. The CA Administrative Assistant works closely with the Site Contract Administrator and various contractors.

Must have SAP experience. The CA Administrative Assistant is a 5 day (M-F), 7:00am - 3:30pm, 40 hour on-site position.

Minimum Requirements:
  • High School diploma with craft or technical experience, Technical degree (2 year)
  • Demonstrated ability to work with many individuals
  • Demonstrated ability to work on multiple tasks, setting and communicating priorities, and understanding the business drivers.
  • Effective oral and written communication skills, the ability to present information to all levels in the organization and address external organizations.
  • Demonstrated ability to develop and execute effective task planning.
  • Demonstrated ability to work with various computer programs including the Microsoft Suite (Excel, Word, Outlook, One Drive, Teams, SharePoint, FileShare), purchasing systems (SAP/S2P), ISNetworld, Concur.

Responsibilities:

The CA Administrative Assistant is responsible in the following areas:

  • Ensure compliance with Site Contracting Strategy
  • Ensure Contractor compliance to DuPont administrative requirements
  • Participate in Contractor review and variance creation
  • Participate in package preparation process (mailings)
  • Create Vendors/Requisitions/Purchase Orders
  • Compile and maintain weekly contractor schedule with DuPont and Contractor input
  • Present recorded Safety Orientation to contractors
  • Site Service Group Communications
  • Web Cycle Resolutions
  • Invoicing/Verify receipt of service
  • Maintain time sheets, material tickets, documentation for ROS
  • Help CA resolve claims and issues
  • Metrics reporting
  • Monitor and document changes to contract
  • Monitor Cost Savings
  • Assist with Post-Job Evaluations
  • Support Site Contract Administrator and Facility Contract Administrator
