Job description

Senior Administrative Assistant

Copley Hospital, located in Morrisville/Stowe VT, is in search of a Senior Administrative Assistant to join our team! The Senior Administrative Assistant will support the administrative office, the President/CEO, the Senior Management Team, and Administration staff. This individual will be responsible for providing a variety of operational, administrative, and support services, including scheduling appointments, composing correspondence, developing meeting agendas, transcribing and distributing meeting minutes, and coordination of special projects. This individual must also have the ability to prioritize workflow from all areas supported.

The ideal candidate will have a positive attitude and desire to learn, excellent oral and written communication skills, the ability to manage relationships, proficiency with MS Office Suites (Word, Excel, Outlook, etc.), integrity, and professionalism.

This position is Full-Time (PT available).

Compensation: $22-25/hour.

The posted salary range reflects compensation for candidates with limited experience. An offer may vary based on factors such as experience, education, skills, internal equity, and market data. An offer of employment may be outside of the posted range based on those factors.

Responsibilities
  • Facilitates and completes administrative and special projects, as assigned.
  • Attends meetings, as required.
  • Assists in the coordination of events for Administration, Board, and Medical Staff, as assigned.
  • Follows through on assignments, and tracks decisions and recommendations that are made at meetings are completed in a timely manner.
  • Composes correspondence, as appropriate and assigned on behalf of the Administration Office.
  • Proofreads and edits documents, as requested.
  • Utilizes various systems to support maintenance of administrative and Board documentation and education. Learns new software in a timely way.
  • Interacts occasionally with local, state, and national organizations in a professional manner. Facilitates communications between Administration and various constituent groups, both internal and external.
  • Identifies areas of improvement relating to administrative efficiency and develops plans to improve performance.
  • Fields visitors and calls, and refers them to the appropriate individual for resolution and follow up.
  • Coordinates schedules around time off with the Executive Assistant to ensure appropriate daily coverage in the Department.
  • May serve as Notary Public for the organization, if licensed.
  • Other duties, as assigned, to ensure the smooth operation of Administration.
  • Manages and orders office supplies and materials, as needed or requested.
Qualifications

Education:

  • Associate degree or certification equivalent (preferred).

Experience:

  • 2-3+ years of relevant experience.

Skills:

  • Excellent oral and written communication skills, diplomacy, organizational and administrative skills.
  • Must possess the ability to manage complex internal and external relationships, displaying maturity, integrity, and a high degree of professionalism.
  • Must be able to work effectively in stressful situations.
  • Must have broad based administrative and computer skills including proficiency in Microsoft Office Products (Outlook, Word, Excel, Power Point, etc.).
  • Familiarity with Lamoille County and regional healthcare agencies/services, preferred.
