Position Summary
Tecumseh Junior High School is seeking a highly organized, customer-focused, and detail-oriented Main Office Administrative Assistant to serve as an integral member of the school's administrative team. This position plays a vital role in supporting the daily operations of the main office by coordinating student discipline records, managing substitute teacher coverage, assisting students, families, staff, and visitors, and providing administrative support to building leadership.

Position Details
Position: Main Office Administrative Assistant (10-Month)
Location: Tecumseh Junior High School
Schedule: Monday-Friday, 6:45 a.m. - 3:15 p.m. (40 hours per week)
Compensation: Starting at $15.83 per hour (up to $16.33 per hour with qualifying prior secretarial experience)
Work Calendar
This is a 10-month position designed primarily around the student school year.
Employees work:
- Approximately three (3) weeks prior to the beginning of the school year
- The regular student attendance calendar throughout the school year
- Approximately one (1) week following the conclusion of the school year
This position offers an excellent work-life balance with:
- Monday through Friday schedule
- No regular evening or weekend work
- Major holidays and school breaks off in accordance with the school calendar

Qualifications
Required
- High school diploma or equivalent
- Strong customer service and interpersonal skills
- Excellent written and verbal communication skills
- Ability to maintain strict confidentiality
- Strong organizational and multitasking abilities
- Proficiency with Microsoft Office (Word, Excel, Outlook, and OneNote)
Preferred
- Previous administrative or school office experience
- Experience with PowerSchool, Frontline (AESOP), or other student information and scheduling systems
- Ability to communicate in Spanish

Performance Responsibilities
Specific responsibilities may vary based on building needs but generally include the following:
Student Discipline
- Receive and process student discipline referrals from teachers and staff.
- Maintain accurate and confidential discipline records.
- Prepare and distribute parent notification letters regarding disciplinary actions.
- Schedule student detentions and provide notification to students.
- Code discipline log entries through completion.
- Prepare incident reports for submission to the Indiana Department of Education (IDOE).
Parent & Guardian Communication
- Answer incoming phone calls and greet visitors in a professional manner.
- Process requests, take messages, and direct calls to appropriate staff members.
- Communicate with parents and guardians regarding discipline-related matters as directed.
Administrative Support
- Maintain and organize discipline files and related documentation.
- Ensure all discipline records are complete, accurate, and filed appropriately.
- Assist administrators with various clerical and office support duties.
Substitute Coordination
- Coordinate daily substitute coverage for certified staff.
- Secure substitute teachers through Frontline (AESOP).
- Prepare and distribute daily substitute schedules, classroom assignments, and necessary materials.
- Assist with onboarding new permanent substitute teachers.
- Resolve last-minute staffing shortages and scheduling conflicts.
- Maintain substitute schedules, spreadsheets, and staffing records.
Front Office Support
- Provide front office coverage during lunch periods and staff absences.
- Assist students, staff, parents, and visitors while maintaining efficient office operations.
