Job description

Overview of Position This position's responsibilities are to assist the District Director of Athletics and acts as a liaison between schools, the Athletic Office, WIAA and the Metro Athletic Conference. This position works with school staff to deliver and monitor compliance with District guidelines, WIAA and league rules and regulations, and provides support and back-up to the Director of Athletics for the operational and day-to-day management of the Athletic Office. Essential Functions 40% Compliance, Eligibility Monitoring, and Risk Management Serves as the District's contact for interscholastic athletics compliance monitoring and operational accountability.

Reviews existing district policies/procedures and makes recommendations to Director for any revisions based on district or emerging trends, issues or WIAA recommendations Conducts periodic compliance audits of school athletic programs, coaches, athletic directors, and eligibility processes. Works in partnership with the Director of Athletics to monitor alleged violations of WIAA regulations, District policies, athlete eligibility requirements, recruiting restrictions, and athletic program procedures. In consultation with Director of Athletics, prepares written investigative reports, findings, and recommendations for corrective action to the Director of Athletics.

Reviews schools' intake forms, conducts additional non-personnel investigations as necessary, and prepares recommendations for Corrective Action Plans (CAP) to Director for approval and implementation Receives and analyzes schools' transfers packet; forwards to building activity coordinator and Assistant Director, supporting operations as necessary Develops and delivers regular compliance training for coaches, Activity Coordinators/Athletic Director, school event staff, and administrators, including review of Emergency Action Plans (EAPs), Final Forms platforms Work in collaboration with schools to Investigate alleged violations of WIAA regulations, District policies, athlete eligibility requirements, and athletic program procedures. Prepares findings via compliance checklist and provide recommendations for corrective action for the Director of Athletics. Maintains records and documentation related to compliance reviews, eligibility determinations, investigations, and corrective actions.

Monitors trends and emerging issues that may create compliance risks and recommends procedural improvements to the Director of Athletics 20% Provides support services to the Director of Athletics in the operation and day-to-day management of office activities. Supervises office staff as assigned or in the absence of the Director of Athletics. Updates Activity Coordinator/Athletic Director meeting dates and communicates to appropriate Seattle Public School representatives at various meetings.

Partners with Assistant Director of Operations and School Support to attend bi-monthly site visits to schools to review compliance with building activity coordinator and administrator 10% Keeps current on WIAA, League rules and regulations, and District policies and procedures. Monitors and applies rules and regulations. Monitors compliance, including Title IX, and responds to requests for information, concerns and complaints.

Generates eligibility dates for sports seasons. 10% Works together with office staff to oversee the preparation and distribution of materials, arrangements, instructional bulletins, league and/or District rules and rule changes. Assist with the development of the Athletic office policies and procedures.

Prepares reports regarding athletic program events and other statistical information as assigned. Make recommendations for improvements and changes and incorporate approved changes into operating procedures and written materials. Ensure materials are sent out and any changes are communicated to schools within a timely matter.

10% Assists with planning and conducts orientation meetings for assigned sports, including meetings with coaches, personnel working at events, officials, seeding/league and other activities related to coordination of sports events. Ensure coaches, athletic directors and other necessary parties are prepared for upcoming events and seasons. 10% Attend meetings, events and seminars, which may be held during off-shift hours, related to area of assignment.
