Position Title: Activities Facilitator
Reports to: Director of Athletics and Activities; Activities Facilitator; Building Principal or Designee

Position Overview:
The Activity Sponsor is responsible for organizing, supervising, and promoting a student organization or club in alignment with the school district's mission, policies, and student development goals. The sponsor serves as a mentor, leader, and liaison between students, staff, and administration to ensure a safe, inclusive, and engaging extracurricular experience.
Qualifications
โ€ข Required Experience & Training:
o Effective communication skills
o Strong organizational and time management skills
o Demonstrated leadership skills
o Ability to work collaboratively with students in a school setting
o Willingness to take responsibility for all duties associated with the position
โ€ข Desired Experience or Training:
o Valid Illinois Professional Educator License (PEL), Substitute Teaching License, Retired educator, or Educator-Related Certification (e.g., Counselor, Psychologist, Social Worker)
o Previous sponsorship or supervisory experience with school-based activities
o When qualifications are substantially equal, preference shall be given to Proviso Teachers' Union (PTU) bargaining unit members, in accordance with the applicable collective bargaining agreement.
Responsibilities:
โ€ข Provide active and effective supervision for all club-related activities, including meetings, events, field trips, and practices, ensuring student safety and compliance with school conduct and safety protocols.
โ€ข Ensure all off-campus activities are approved through district procedures and that appropriate permission slips and transportation arrangements are completed in compliance with Board policy.
โ€ข As a mandated reporter under Illinois law, comply with all training and reporting obligations pursuant to 325 ILCS 5/4 and Board policy.
โ€ข Demonstrate knowledge and expertise related to the activity by preparing students for participation, clearly defining expectations and responsibilities, and offering constructive feedback to support their development.
โ€ข Guide students in planning and executing meaningful, inclusive, and developmentally appropriate activities that align with the club's mission and school values.
โ€ข Coordinate logistics and facility usage with appropriate school personnel and departments to ensure well-organized and safe events.
โ€ข Use feedback and participation data to inform program decisions, continuously striving to improve the quality and impact of the club or activity.
โ€ข Comply with the activities-committee pool assignment process (e.g., notification deadlines for sponsor needs, pool sign-up procedures)
โ€ข Promote student involvement by modeling positive interpersonal relationships and encouraging respectful interactions among students and between students and adults.
โ€ข Provide students with leadership and participation opportunities that foster engagement, teamwork, shared decision-making and responsibility.
โ€ข Support students' academic success by encouraging a healthy balance between academic responsibilities and extracurricular involvement, and by collaborating with teachers and staff as needed.
โ€ข Enforce academic eligibility in accordance with IHSA and district policy.
โ€ข Promote student self-esteem and personal growth through positive reinforcement and recognition of effort and achievement.
โ€ข Maintain open, timely, and professional communication with students, staff, administration, parents/guardians, and other stakeholders regarding club operations, expectations, and events.
โ€ข Clearly communicate expectations regarding attendance, behavior, eligibility, and participation, and consistently enforce them to maintain an orderly and productive environment.
โ€ข Ensure meetings, events, and initiatives are publicized in a timely and inviting manner.
โ€ข Promote the club or activity using district-approved communication platforms (e.g., website, newsletters) in accordance with school policy.
โ€ข All communication with students must comply with district-approved platforms and guidelines for appropriate staff-student interaction.
โ€ข Collaborate professionally with co-sponsors, staff, administrators, and departments to support the goals of the club and the broader school community.
โ€ข Attend scheduled school events and sponsor-related meetings, including but not limited to Sponsor Meetings, Activity Fairs, and Open House events.
โ€ข Represent the school and district with professionalism and integrity, serving as a positive role model for students.
โ€ข Manage the club's budget and financial records responsibly by adhering to district procedures for purchases, reimbursements, and fundraising activities.
โ€ข Submit all required documentation, reports, and compliance forms accurately and by established deadlines.
โ€ข Complete a year-end summary or report of activity goals/outcomes.
โ€ข Participate in annual post-activity evaluation by the Director of Athletics and Activities, Activities Facilitator, Building Principal or Designee
โ€ข Comply with all applicable federal and state laws including FERPA, Title IX, and Board policies related to discrimination, harassment prevention, and student confidentiality.
โ€ข Perform other duties as assigned by school administration.
This stipend position is a non-tenure, extra-duty assignment contingent upon sufficient student enrollment, program approval, and available funding. It is not subject to continued renewal and
may be discontinued at the district's discretion. This position is exempt from overtime pay under the Fair Labor Standards Act (FLSA). Stipends are not calculated based on hours worked and are considered payment for duties performed outside the regular instructional day. Subject to satisfactory criminal background clearance and drug screening as required by Illinois School Code and District policy. This is an at-will, extra-duty appointment and may be discontinued at the District's discretion.
