Job description

Role Overview

We are seeking a detail-oriented and proactive Transportation Coordinator to support daily transportation and logistics operations. This role is responsible for end-to-end transportation coordination, including arranging inbound and outbound shipments, managing transportation schedules, tracking freight movement, and maintaining accurate transportation documentation.

In addition to operational coordination, this position plays a key role in transportation billing and cost control, supporting accounts payable (AP) and accounts receivable (AR) processes related to freight charges. Responsibilities include reviewing carrier invoices, verifying freight rates and accessorial charges, resolving billing discrepancies, and supporting customer billing for transportation services.

The ideal candidate thrives in a fast-paced logistics environment, is highly organized, and communicates effectively with carriers, drivers, customers, and internal teams. Data management skills are essential, along with the ability to adapt quickly to schedule changes and operational challenges. Candidates with experience in transportation coordination, logistics operations, freight billing, or warehouse-related transportation functions are highly preferred.

Key Responsibilities

Transportation & Scheduling

  • Coordinate daily inbound and outbound transportation schedules, including pickups, deliveries, and appointment management.

  • Adjust transportation plans in response to delays, volume changes, or urgent requests, ensuring minimal service disruption.

  • Communicate real-time schedule updates to carriers, drivers, customers, and internal teams.

Carrier & Vendor Coordination

  • Serve as the primary point of contact for carriers and transportation vendors.

  • Confirm transportation appointments, monitor shipment status, and follow up on delays or exceptions.

  • Support carrier performance tracking and issue escalation when needed.

Customer Communication

  • Provide timely and accurate transportation updates to customers regarding shipment status, ETAs, and delivery issues.

  • Coordinate special transportation requirements and ensure customer expectations are clearly communicated and met.

System & Documentation Support

  • Maintain accurate transportation records in internal systems (TMS/WMS or Excel-based logs).

  • Prepare and manage transportation-related documentation, reports, and daily operational summaries.

  • Ensure data accuracy for freight movements, appointments, and delivery confirmations.

Operational Support

  • Collaborate closely with warehouse and operations teams to align transportation schedules with loading/unloading activities.

  • Support supervisors in resolving transportation-related issues impacting warehouse or customer operations.

  • Assist with continuous improvement initiatives to enhance transportation efficiency and service quality.

Problem Resolution & Compliance

  • Proactively identify transportation issues and support root-cause analysis and corrective actions.

  • Ensure transportation activities comply with company policies, safety standards, and operational procedures.

Qualifications

  • 1 ~ 2 years of experience in transportation coordination, logistics operations, freight forwarding, or carrier management (preferred).

  • Proficiency in the Korean language required (verbal and written) for communication with Korean-speaking business partners.

  • Experience with transportation scheduling, shipment tracking, and carrier communication.

  • Experience supporting freight billing, including Accounts Payable (carrier invoice review) and Accounts Receivable (customer billing) is preferred.

  • Familiarity with TMS, transportation modules within WMS/ERP, or logistics management systems (preferred).

  • Strong proficiency in Excel and Outlook, including data tracking, reporting, and communication management.

  • Excellent communication and coordination skills with the ability to work effectively with carriers, drivers, customers, and internal teams.

  • Strong organizational skills with the ability to manage multiple shipments, schedules, and billing tasks simultaneously.

  • Ability to thrive in a fast-paced transportation environment and respond quickly to schedule changes, service issues, and billing discrepancies.

  • Strong problem-solving skills and high attention to detail, particularly in shipment tracking and freight cost accuracy.

This position may offer visa (E-2) and permanent residency (green card) sponsorship for qualified candidates.
