Job description

JOB SUMMARY:
  • The ideal candidate will have demonstrated knowledge of administration processes and preferably within a professional services environment.
  • They must possess excellent communication and interpersonal skills to work with internal and external contacts.
  • Must possess a high level of moral judgment for handling confidential information.
RESPONSIBILITIES:
  • Manage Work Order System (IFM Hub) by updating the status of work orders and/or completing same.
  • Support in fulfillment of new requests, along with guard extensions.
  • Ensure that work order process is followed per guidelines.
  • Document all requests for guard and mobile service.
  • Follow-up on missing work order number/purchase orders.
  • Run reports or pull data from Securitas Mobile Vision as required.
  • Collaborate with NAM on projects and assist in managing project timelines.
  • Produce and modify quotations in response to a request from a project manager.
  • Complete and maintain Job Log for all service requests sent internally or to subcontractors.
  • Note any alarm trends identified and report to National Accounts Manager.
  • Assist in promoting client satisfaction.
  • Knowledge of Microsoft Office applications including Excel.
  • Bilingual in French, an asset.
  • Other duties as assigned.
QUALIFICATIONS:
  • Post-secondary diploma in Business or related field is required.
  • 3 years of experience in an administration and operational role, preferably within the Security industry.
MINIMUM QUALIFICATIONS AT ENTRY:

Must be at least 18 years of age. Must have a reliable means of communication (i.e., pager or phone). Must have a reliable means of transportation (public or private). Must have the legal right to work in Canada. Must have the ability to speak, read, and write English and French in the province of Quebec. Must have a High School Diploma or GED. Must be willing to participate in the Company’s pre-employment screening process, including background investigation.

WORKING CONDITIONS (Physical/Mental Demands):

Requires the physical and mental capacity to perform effectively all essential functions. Must undergo and meet company standards for background and reference checks and behavioral selection survey. Required ability to handle multiple tasks concurrently. Computer usage may include prolonged periods of data entry. Handling and exposure to sensitive and confidential information. Regular talking and hearing. Frequent lifting and/or moving up to 10 pounds, occasionally up to 25 pounds.
