Job description

Atlas Surveying, Inc. is an industry-leading professional land surveying firm with offices in the Savannah/Hilton Head, Charleston, Charlotte, and Greenville/Spartanburg areas. We use conventional tools, robots, and drones to conduct surveys, perform certifications, and provide real-time GPS and aerial mapping. We serve a client base of real estate developers and construction companies, as well as architectural and engineering firms.

Atlas Surveying, Inc. is accepting resumes for the position of Accounting Assistant in the Charlotte, NC office. This is an on-site required position (located in our new office at 5001 Sirus Lane, Charlotte, NC).


Key Responsibilities:

  • Accounts Payable
    • Review, analyze & verify all invoices that are received for accuracy and appropriate approvals.
    • Enter invoices into accounting software with correct coding
    • Prepare and process vendor payments.
  • Accounts Receivable
    • Process all incoming payments (checks, ACH, wire transfer, credit card payments) in the accounting software.
    • Communicate with internal teams or clients to resolve discrepancies, payment issues or misapplied payments.
  • Corporate Credit Card Management
    • Review and analyze employee credit card transactions for accuracy and compliance with company policies.
    • Code expenses and ensure proper documentation is attached for each transaction.
    • Download monthly statements and import data into the accounting software for reconciliation.
  • Asset/Vehicle Management
    • Serve as main contact for vehicle management software.
    • Maintain accurate vehicle files including purchase documents, maintenance records, insurance, and registration details.
    • Order license plates & process vehicle registrations.
    • Serve as main contact for all vehicle related issues.
    • Maintain asset records in asset management software, updating when assets are purchased, traded in, or disposed of.
  • Petty Cash Management
    • Maintain and fund petty cash accounts as needed.
    • Review and reconcile petty cash reports, ensuring receipts and documentation meet company standards.
  • Review & process employee expense reports ensuring compliance with company expense policies.
  • Process new vendor/client onboarding packages & client ACH set up ensuring all documentation is collected and accurate.
  • Perform bank runs to deposit checks and other banking tasks as needed.
  • Assist with the preparation of monthly, quarterly and annual financial reports.
  • Assist the Corporate Finance Manager with data entry, account reconciliations and audit preparations.
  • Assist with & maintain organized records of all professional licenses and renewal deadlines., including business licensure.
  • Greet and assist visitors, clients, and vendors in a professional manner.
  • Answer and route incoming office calls.
  • Support office operations including supply ordering as needed, mail distribution, and general administrative tasks.
  • Assist with special projects as assigned.

Qualifications:

  • This is an in-office position, based in Charlotte, NC (located in our new office at 5001 Sirus Lane, Charlotte, NC).
  • 2 years of administrative experience or AP/Accounting experience.
  • Preferred, but not required:  Previous work in a related industry (i.e., commercial or residential real estate development, construction, professional surveying or architectural firm).
  • Excellent verbal and written communication skills.
  • Requires a valid driver's license.
  • Ability to work collaboratively with field staff and to represent Atlas professionally with clients and prospects.
  • Working knowledge of accounting principles.
  • Proficiency in Microsoft Office Suite and QuickBooks or other financial software. Experience with industry specific Deltek or other accounting and project management software a plus.
  • Ability to operate independently. Adaptive to change.
  • Demonstrated leadership and problem-solving skills.
  • Personal responsibility.
