Accounting Clerk (Fixed Assets)

  • Location: Center for Education Services
  • Compensation: Grade 8 with a starting hourly rate of $21.60. Potential future earnings for this position on the ESP Salary Scale are $21.60 - $39.08
  • Schedule: 7.5 Hours/Day
  • Work Year: 12-Month
  • Reports To: Senior Accountant

  • Role Overview:  The Accounting Clerk (Fixed Assets) provides accounting and administrative support for the Finance Department by maintaining the school system's fixed asset records, processing invoices and payments, and ensuring compliance with Board policies, accounting principles, and applicable regulations. This position assists with purchasing, accounts payable, fixed asset inventory, financial reporting, and departmental operations while providing excellent customer service to schools and departments. 

Minimum Requirements:

  • Education:  Must hold a high school diploma, GED, or equivalent
  • Experience: Minimum of two (2) years of experience in accounting, bookkeeping, finance, accounts payable, purchasing, or a related field.
  • Knowledge/Skills/Abilities:
    • Knowledge of bookkeeping and accounting principles and practices.
    • Ability to learn and apply governmental accounting procedures and internal controls.
    • Ability to understand and apply Board policies, purchasing procedures, and financial regulations.
    • Proficiency with Microsoft Excel, Word, Outlook, and accounting software applications.
    • Strong organizational, analytical, and time management skills.
    • Ability to maintain strict confidentiality.
    • Excellent written, verbal, and interpersonal communication skills.
    • Ability to work independently, prioritize multiple assignments, and meet strict deadlines.
    • Ability to establish and maintain effective working relationships with employees, vendors, auditors, and the public.
  • Attendance: Regular and predictable attendance is an essential function of this position.

Role Responsibilities:

  • Accounts Payable and Purchasing
    • Process invoices, reimbursements, and payment requests accurately and timely in accordance with Board purchasing policies and procedures.
    • Verify that expenditures are properly authorized, documented, and coded prior to payment.
    • Assist schools and departments with purchasing and payment questions.
  • Fixed Assets
    • Maintain the school system's fixed asset inventory and accounting records.
    • Tag and track capital assets located throughout the school system.
    • Record additions, transfers, disposals, and adjustments to fixed asset records.
    • Conduct or assist with periodic physical inventories of fixed assets.
    • Reconcile fixed asset records and prepare related reports.
    • Assist with annual audits by providing documentation and responding to auditor requests.
  • Accounting Support
    • Maintain accurate financial records and supporting documentation.
    • Assist with account reconciliations and month-end and year-end accounting processes.
    • Prepare reports and spreadsheets as requested.
    • Identify discrepancies and assist in resolving accounting issues.
  • Customer Service
    • Cross-train in various accounting functions to provide operational support and continuity.
    • Participate in continuous improvement initiatives.
    • Maintain confidentiality of financial and employee information.
  • Professionalism
    • Demonstrate professionalism, integrity, and customer-focused approach in all interactions.
    • Foster positive working relationships with internal and external stakeholders.
  • Other Duties: Perform additional tasks as assigned.
