Job description

Job Title: Accounts Payable Specialist
Location: Newark, New Jersey (on-site)
Organization: United Community Corporation (UCC)
UCC is a Newark-based nonprofit helping low-income individuals and families — including seniors and youth — build self-sufficiency, through programs funded by government grants, foundations, and private donors.

Position Summary
Accounts Payable:
  • Process invoices accurately and on time, coding expenses to the correct program/grant.
  • Maintain vendor records (W-9s, insurance certificates, etc.) and resolve invoice/PO discrepancies.
  • Reconcile vendor statements monthly; clear outstanding balances.
  • Prepare payments (checks, ACH, online) for approval per internal controls.
  • Support grant reimbursement requests and funder financial reports with back-up documentation.
  • Resolve vendor payment inquiries.
  • Assist with month-end/year-end close, AP accruals, reconciliations, and 1099 prep.
  • Maintain audit-ready AP files in support of UCC's annual audit.
  • Identify process improvements; collaborate with program staff and Finance Director.

Requirements:
  • AA's Degree in Accounting/Business or 3+ years of equivalent AP/bookkeeping experience; nonprofit or government-funded org experience preferred.
  • Familiarity with fund accounting and grant-based budgeting a plus.
  • Proficiency with accounting software (QuickBooks, Sage, or similar).
  • Strong attention to detail and ability to juggle multiple funding sources/deadlines.
  • Valid NJ Driver's License and adequate auto insurance.
  • Ability to maintain confidentiality of client and financial information.
