Job description

We are looking for a Part Time Accounting Clerk to support day-to-day financial operations for a services organization in Little Falls, Minnesota. This is a Long-term Contract opportunity for an accounting specialist who can manage detailed transactional work while helping maintain accurate records, reporting, and compliance. The position will contribute across accounts payable, payroll support, reconciliations, and budget-related activities in a collaborative finance environment.
Responsibilities:
• Process invoices from review through payment, maintain organized records, and close out encumbrances accurately.
• Examine billing details to assign charges to the correct accounts, programs, and cost centers before entries are posted.
• Confirm vendor setup and compliance documentation, including tax-exempt records and required verification steps, to avoid improper sales tax charges.
• Support payroll administration by staying current on procedures, reviewing bi-weekly payroll information from the external provider, and recording related entries in the accounting system.
• Gather supporting materials for agency credit card activity and prepare the related journal entries for accurate financial tracking.
• Produce financial and payable reports as needed, reconcile general ledger and bank accounts monthly, and investigate outstanding items such as aged checks.
• Assist with recurring purchasing activity by preparing requisitions, validating coding and approval levels, and issuing encumbrance forms upon request.
• Contribute to month-end and year-end close activities, budget preparation, forecasting support, audit schedule preparation, and required tax reporting such as annual 1099s and retirement contribution reporting.
• Provide guidance on expense coding and funding compliance by applying current state and federal grant requirements, and participate in departmental meetings, training, and special projects as assigned.• Associate degree in accounting required; bachelor’s degree preferred.
• At least 3 years of accounting experience, with nonprofit industry exposure considered a plus.
• Working knowledge of core accounting practices, financial reporting, and account analysis.
• Hands-on experience with accounts payable, journal entries, reconciliations, and month-end close support.
• Proficiency in Microsoft Excel at an intermediate to advanced level.
• Familiarity with payroll support processes and reviewing payroll data from automated or outsourced systems.
• Experience using accounting software and invoice workflow tools; exposure to automated accounts payable platforms is preferred.
• Strong attention to detail with the ability to maintain accurate documentation and coding across departments and programs.
