Job Summary: The Logistics Office Associate 2 contributes to the efficient operation of the logistics department by providing administrative support. Logistics Office Associate 2 in this job performs a range of general and specific administrative tasks including office/clerical tasks that can be easily learned on the job such as filing, copying, and collecting documents, answering phones, ordering and distributing supplies, and data entry. It also includes warehouse/driver support such as communicating with drivers, sales, and vendors when needed, and creating, and maintaining logistics-related data and reports. Level 2 associates may handle other tasks including but not limited to maintaining food safety and DOT records, managing receiving documents, and keeping track of inventory for the branch office.

Job Functions:

  • Coordinate warehouse activities and assist the Logistics Manager in the daily warehouse duties.
  • Coordinator, monitor, and organize vendor appointments to help create a daily work schedule for the warehouse receiving team.
  • Coordinate with warehouse personnel to support in, creating receiving labels, error correction, and inventory inquiries.
  • Communicate with HQ to organize and complete inbound/inventory requests.
  • Communicate with Logistic HQ, Logistic Manager, and Corporate Food Safety Department for HACCP and Branch food safety plan.
  • Upload all HACCP/ Food safety worksheets to designed shared folders at the beginning of each month.
  • Maintain and organize all HACCP and food safety-related documents, and ensure that records are kept for at least 3 years.
  • Ensure the branch complies with government regulations and 3rd party audit requirements.
  • Maintains and/or creates file or record-keeping systems. Sorts, labels, files, and retrieves documents, or other materials.
  • Monitors and driver-related documents and paper works which include but are not limited to DQ files, E-log, adjustment paper, and a trip report and delivery schedule. Teach first-time drivers and continuously communicate with them to improve DOT compliance.
  • Receives calls, takes and relays messages, responds to requests for information; provides information or directs caller to the appropriate individuals including drivers, sales, and vendors.
  • Responsible for daily registration activities including but not limited to printing invoices, printing assemble sheets, forwarding payment orders to the accounting department checking on payment status, and filing permanent copies.
  • Compiles & completes inventory, ordering, & receiving records & reviews reports for correctness; maintenance of warehouse database system; additional warehouse duties as assigned.
  • Organizing warehouse and work area for orderliness at all times.
  • Assist warehouse (receiving and assembling) operation as needed.
  • Creates reports for branch management as necessary.
  • Assisting in the counting of physical inventory.
  • Other duties as assigned.
