About the Role 


ITAD USA is looking for a proactive, organized, and customer-focused Account Operations Coordinator to join our growing team. 


This role is centered around managing customer accounts and coordinating the operational activities required to successfully complete each project. You'll serve as a key point of contact for customers while working closely with our warehouse, operations, sales, and transportation partners to keep projects moving from initial request through completion. 


You'll be responsible for coordinating customer projects, communicating project updates, scheduling asset pickups, booking freight, tracking shipments, coordinating lot settlements, reconciling asset information, and resolving issues along the way. 


This is a great opportunity for someone who enjoys building customer relationships while also being hands-on with the operational side of the business. The ideal candidate is highly organized, comfortable managing multiple priorities, and enjoys being the person who keeps customers and internal teams aligned. 


What You'll Do 


Account Management & Customer Relationships 


Serve as a primary point of contact for assigned customer accounts. 

Build and maintain strong, professional relationships with customers. 

Manage day-to-day customer requests and coordinate solutions from start to finish. 

Provide customers with timely updates regarding project status, pickups, shipments, asset receipt, and settlement. 

Coordinate customer projects from initial request through final completion. 

Partner with internal teams to ensure customer expectations and project requirements are met. 

Assist with new customer onboarding, account setup, and project initiation. 

Proactively identify and address issues that could impact the customer experience. 


Project & Asset Coordination 


Coordinate customer IT asset recovery projects, including office relocations, IT refreshes, equipment deployments, and technology recovery programs. 

Coordinate the receipt and processing of customer asset lots. 

Review manifests, documentation, quantities, serial numbers, and other asset information. 

Assist with lot settlement and reconciliation to ensure customer assets are accurately accounted for. 

Identify and resolve discrepancies between expected and received assets. 

Track projects through each stage of the recovery and disposition process. 

Coordinate with warehouse and operations teams to ensure customer projects stay on schedule. 


Freight & Transportation Coordination 


Schedule customer asset pickups and deliveries. 

Book freight and coordinate carriers based on project requirements. 

Communicate pickup details, including locations, dates, equipment requirements, pallet counts, weights, and special instructions. 

Confirm transportation schedules with customers, carriers, and internal teams. 

Track shipments and provide updates when necessary. 

Proactively communicate and resolve delays, missed pickups, or other transportation issues. 

Maintain accurate freight, shipment, and tracking information. 

Coordinate with warehouse teams to ensure assets are prepared for scheduled pickups. 


Administrative & Operational Support 


Maintain accurate customer, project, shipment, and asset information within CRM and internal systems. 

Prepare customer communications, project documentation, manifests, reports, and other required materials. 

Track project milestones and follow up on outstanding items. 

Maintain organized records of customer activity, freight bookings, pickups, settlements, and project completion. 

Support process improvements and other operational initiatives as the business grows. 


What We're Looking For 


Required 


1–3 years of experience in account management, customer service, client services, operations, project coordination, or a related field. 

Strong customer service and relationship-building skills. 

Excellent organizational skills and the ability to manage multiple accounts and projects simultaneously. 

Strong written and verbal communication skills. 

High attention to detail and accuracy. 

Ability to coordinate effectively with customers, vendors, carriers, and internal teams. 

Proficiency with Microsoft Office, particularly Outlook and Excel. 

Strong problem-solving skills and a proactive approach to resolving issues. 

Ability to work independently while managing competing priorities in a fast-paced environment. 


Preferred 


Experience managing or supporting business-to-business customer accounts. 

Experience coordinating freight, transportation, pickups, or deliveries. 

Experience with lot settlement, inventory reconciliation, asset tracking, manifests, or shipment documentation. 

Experience with CRM, ERP, inventory management, or transportation systems. 

Experience in ITAD, electronics recycling, reverse logistics, technology services, warehousing, or transportation. 

Experience coordinating multi-location projects or customer programs. . 


Physical Requirements 


Ability to work at a computer for extended periods throughout the workday. 

Occasional visits to warehouse operations and customer locations. 

Ability to lift up to 25 pounds as needed. 

Ability to navigate warehouse environments when coordinating or reviewing customer assets.
