About the Job
 

The Office Manager & Events Associate reports to the Chief of Staff in the Universitys Technology Commercialization (Tech Comm) Office. This position provides high-level administrative and office management support to the Tech Comm team, and assists in planning and implementing Tech Comm events. The Office Manager & Events Associate also manages administrative documents, supplies, mail/packages, and communications (main Tech Comm email accounts and phone line) for the office.
Position Duties and Responsibilities
50% EVENT COORDINATION
Partner with Tech Comm event owners to support and coordinate administrative needs for events (including virtual, in-person, and hybrid)
Anticipate common needs and take appropriate initiative to ensure successful planning of the event and a positive guest experience during the event
Professionally communicate with guests by email, in-person, and on the phone
Provide administrative assistance for online and hybrid events and webinars
Manage event details including registration, RSVPs, venue and food accurately and consistently
Ensure event materials such as name tags, programs, digital assets, confirmation packets, invitations, PPT presentations, etc. are complete
Coordinate event staffing and ensure accurate execution of all event logistics
Responsible for event day preparation, packing, set-up, execution, and clean-up
Provide support of set up and troubleshoot A/V equipment
45% OFFICE OPERATIONS
Independently manage overall office facilities and communicate directly and on behalf of Tech Comm staff with faculty, external stakeholders and partners
Manage details for Tech Comm staff attending conferences, trade shows, webinars and other events
Manage vendor relationships for office supplies and equipment
Lead and train other Tech Comm staff in key A/V functions including zoom, virtual set up, camera set up, and other A/V systems
Coordinate logistics for large meetings with external participants
5% OTHER DUTIES AS ASSIGNED

The Research and Innovation Office (RIO) and Tech Comm endorses a work with flexibility approach that offers a welcoming and flexible work environment where everyone is inspired to do their best. Work location options include working fully remote, partially remote, or entirely in the office and are based on the work of the position. Some on-site work may be necessary for certain positions, even those designated as fully remote.
This position has been designated as eligible for flexible work profile three.
Profile Three-Mostly Remote: Time spent working remotely is consistently 50% time or more. Collaborative or shared on campus work space to be provided while on campus.
Tech Comm management retains the right to modify flexible work arrangement agreements on a temporary or permanent basis for any reason at any time.

Qualifications
 

Required Qualifications
BA/BS degree or a combination of related education and work experience equal to at least four years
Ability to be in office minimum 2 days a week (Tuesdays and Thursdays), with additional days as needed
Demonstrated experience with event planning and coordination
Strong communication skills and attention to detail
Strong technical, project management and coordination skills
Experience with audio visual equipment and software used for events and hybrid meetings
Proficiency using Google and Microsoft Office products (Word, Excel and PowerPoint)
Preferred Qualifications
Experience in an academic and/or business office setting
Experience with Salesforce and/or Sophia databases
Innovative thinker with strong conceptual and problem-solving skills
Administrative experience providing skilled support to high-level management
