At Vicar's Landing, first impressions matter—and our Main Desk Lead Receptionist/Dispatcher helps set the tone for the exceptional experience our residents, visitors, and team members enjoy every day.
In this unique role, you'll serve as the central hub of communication for our Security and Transportation departments, coordinating transportation requests, supporting security operations, and providing outstanding customer service. Whether you're helping a resident schedule a ride, dispatching a driver, responding to an urgent situation, or greeting a visitor with a smile, you'll play an important part in keeping our campus running smoothly.

What You'll Do
Front Desk & Member Services
- Serve as the primary point of contact for residents, visitors, team members, and vendors
- Greet guests and members in a warm, professional, and welcoming manner
- Answer, screen, and route incoming phone calls and radio communications
- Assist residents with transportation requests, community information, and general inquiries
- Maintain visitor access procedures and support front desk security protocols
- Monitor emergency communication systems and respond appropriately when needed
- Maintain a professional, organized, and welcoming reception area
Transportation Coordination & Dispatch
- Coordinate and dispatch transportation services, golf cart rides, and community vehicle requests
- Schedule bus trips, airport transportation, appointments, and resident outings
- Monitor vehicle availability and driver assignments to ensure efficient service
- Communicate schedule updates, route changes, and special transportation needs
- Track field personnel and service requests while maintaining real-time operational awareness
Security & Emergency Response Support
- Monitor alarm systems, communication systems, and emergency notification platforms
- Dispatch security personnel and coordinate responses when needed
- Assist with emergency communications and notifications during urgent situations
- Escalate critical incidents and emergencies to appropriate leadership teams
- Support efforts to maintain a safe and secure environment for residents and staff
Administrative Support
- Maintain transportation schedules, security logs, and operational records
- Create work orders and service requests as needed
- Keep member and employee contact information current and accurate
- Assist with timekeeping, reporting, and compliance documentation
- Issue key fobs, RFID devices, and other access credentials accurately
- Maintain confidentiality of resident, employee, and operational information
- You genuinely enjoy helping people and providing exceptional customer service
- You remain calm and professional during busy or high-priority situations
- You're highly organized and can manage multiple tasks at once
- You communicate clearly and confidently with residents, team members, and leadership
- You enjoy problem-solving and finding solutions quickly

Skills You Need
Must Have Skills
- High school diploma or GED
- Strong customer service and communication skills
- Ability to multitask and prioritize effectively in a fast-paced environment
- Proficiency with computers, Microsoft Office, phones, radios, and scheduling systems
- Strong organizational skills and attention to detail
- Ability to maintain confidentiality and professionalism
- Ability to follow established procedures and emergency protocols
Nice to Have Skills
- Previous receptionist, dispatcher, transportation coordinator, or security operations experience
- Experience working in senior living, hospitality, healthcare, or customer service environments
- Familiarity with dispatch software, GPS tracking systems, or scheduling platforms
- Experience handling multiple phone lines and high call volumes
- Knowledge of security operations or emergency response procedures
