Academic Library Assistant information

What is an academic library assistant?

Academic Library Assistants are support staff who help manage the daily operations of college or university libraries. They assist students and faculty in finding and borrowing materials, organize and shelve books, maintain records, and may help with cataloging or interlibrary loan requests. Their role is essential in ensuring the library runs smoothly and patrons have access to the resources they need for research and study.

What are the key skills and qualifications needed to thrive as an academic library assistant?

To thrive as an Academic Library Assistant, you generally need organizational skills, attention to detail, familiarity with library practices, and at least a high school diploma or an associate degree. Experience with library cataloging software, integrated library systems (ILS), and digital databases is typically required. Excellent customer service, communication, and teamwork skills help you effectively support students and faculty. These skills ensure efficient library operations, positive patron experiences, and the accurate management of resources in an academic environment.

What are some common challenges academic library assistants face in managing multiple requests from students, faculty, and staff?

Academic Library Assistants often juggle diverse tasks such as assisting with research queries, checking out materials, and supporting library events, which can lead to a fast-paced and occasionally demanding environment. Balancing these responsibilities while maintaining accuracy and offering helpful service can be challenging, especially during peak times like midterms or finals. Effective time management, clear communication, and familiarity with library systems are crucial for success. Collaborating closely with librarians and other staff helps distribute workloads and ensures patrons' needs are met efficiently.

As a member of the Ontario Council of University Libraries (OCUL) network and partner in the shared OMNI discovery system with other universities, the library also serves the broader Ontario university community. The Collections & Content (C & C) team is responsible for a budget of $8M and the provision and management of resources and collections. C & C encompasses the following units: Collection Development, Acquisitions & Resource Management, and Course Material & Reserve Services.

Reporting to the Manager, Course Material and Reserve Services (CMRS), the CMRS Library Assistants are responsible for a wide range of tasks in support of the provision of course-related learning materials via the Library's Course Reserve service and the University's course management system (CourseLink).

Duties and Responsibilities

Working with course instructors, Course Material and Reserve Services Assistants create, process, and catalogue course-related learning materials and facilitate students' access to these resources. This position provides support and assistance to instructors by assessing incoming content for copyright compliance, obtaining copyright permissions, arranging for payment of royalties, and scanning and uploading content to integrate directly into CourseLink.  The assistant is responsible for ensuring that all content meets current AODA accessibility requirements, providing stable links to full text articles in electronic journals, e-books, and databases, and initiating the purchase of relevant content if the library does not already own it. • Customer service experience and a client-focused attitude. Ability to build positive relationships with stakeholders and to exercise empathy, diplomacy and tact.
  • Excellent written and oral communication skills; active listening skills, and above-average numeracy and organizational skills.
  • Highly-developed analytical and problem-solving skills, intellectual curiosity, and an ability to synthesize information and respond quickly and accurately to issues.
  • Demonstrated ability to work collaboratively within a team environment, with a commitment to personal and professional development.
  • Broad understanding of the academic environment, semester cycle, and the learning objectives and curricular goals of a university.
