Job description

Job Summary

The Patient Access Representative provides front-office administrative and patient access support in a multi-specialty healthcare clinic. This role is responsible for welcoming patients, scheduling appointments, registering patients, verifying insurance and referrals, obtaining authorizations, collecting payments, processing charges, maintaining accurate records, and supporting efficient clinic operations. The ideal candidate demonstrates excellent customer service, attention to detail, professional communication, and proficiency with Epic and related healthcare systems.


Required Qualifications

  • High School Diploma or equivalent, or 5 years of experience in a healthcare setting
  • Previous clerical, office, or administrative assistant experience preferred
  • Previous healthcare or medical office experience preferred
  • Experience working in a multi-specialty clinic preferred
  • Strong customer service and communication skills
  • High level of accuracy and attention to detail
  • Ability to handle confidential patient information in accordance with HIPAA
  • Ability to work effectively in a fast-paced healthcare environment


Key Responsibilities

Patient Reception & Customer Service

  • Greet patients and visitors courteously and provide appropriate directions and information.
  • Answer, screen, and route telephone calls and pages using hospital communication systems.
  • Take and relay clear, accurate messages while maintaining professional communication with patients, providers, and referring physician offices.
  • Provide information regarding clinic programs, services, and procedures.


Scheduling & Patient Registration

  • Schedule patient visits and procedures accurately to support efficient clinic operations and minimize wait times.
  • Manage no-shows, late arrivals, discharges, follow-up appointments, and payer-related scheduling requirements.
  • Complete patient registration and pre-registration accurately using established procedures.
  • Verify patient identity using at least two identifiers and ensure accurate demographic, guarantor, and insurance information.
  • Maintain accurate patient records and prevent duplicate medical records.


Insurance, Referrals & Authorizations

  • Verify insurance eligibility and benefits using available systems and tools.
  • Complete required Medicare Secondary Payer Questionnaire (MSPQ) processes.
  • Obtain and verify physician referrals and required pre-authorizations or authorization renewals.
  • Ensure required diagnosis and coding information is accurately documented in the appropriate systems.
  • Record authorization information accurately in Epic.
  • Assist patients with physician-ordered referrals and follow up on outstanding services.
  • Maintain referral tracking/tickler files and communicate incomplete services to clinical staff.


Financial & Revenue Cycle Support

  • Collect co-pays, co-insurance, outstanding balances, and other patient payments.
  • Process credit card transactions accurately and maintain appropriate payment information in Epic.
  • Balance cash drawers and prepare deposits according to department procedures.
  • Assist patients with payment plans and financial resources in coordination with billing and financial assistance departments.
  • Enter physician/provider charges accurately and process account transactions in Epic.


Medical Records & Compliance

  • Retrieve patient information and medical records from Epic and other departments or facilities.
  • Prepare patient charts and documentation prior to appointments.
  • Provide requested chart documentation to billing and other authorized departments.
  • Process medical record releases in accordance with HIPAA and organizational policies.
  • Maintain accurate documentation and electronic logs related to release of information.


Checkout & Clinic Operations

  • Complete patient checkout procedures and communicate follow-up instructions and scheduling needs.
  • Complete assigned work queues within established timeframes and assist team members as workload permits.
  • Maintain and update Epic Cadence scheduling templates based on department needs.
  • Collect and compile operational data, including patient satisfaction, scheduling access, panel size, performance improvement, and staffing information.
  • Maintain department inventory and order supplies while exercising appropriate fiscal responsibility.
  • Escalate unresolved issues to the appropriate manager.
