Part-Time Administrative Assistant (16 Hours)

Description

Part-Time Administrative Assistant

S CO Family of Services is looking for a part-time Administrative Assistant for the Queens Family Treatment and Rehabilitation Preventive Program. The ideal candidate will be a conscientious self-starter with previous experience.

Responsibilities:

  • Assist with overall clerical and administrative functions including handling mail, timekeeping, scanning, photocopying and scheduling appointments and meetings.
  • Responsible for case record filing and maintenance; preparing of open and closed files.
  • Maintain supplies; handle purchasing requests.
  • Maintain accounts payable and accounts receivable.
  • Reconcile purchase card and petty cash accounts; expense reimbursement requests, metro card requests.
  • Establish, maintain and revise record keeping and filing systems.
  • Provide casework support for concrete case management tasks, e.g. rent arrears, utility shut off, furniture assistance for families as needed
  • Conduct assessment of financial resources for families as needed
  • Gathering resources for clients (i.e. camps, vocational/alternative school settings, housing information, recreational activities, etc.)
  • Manage facility related accounts and concerns.
  • Data entry as assigned.
  • Assist to maintain training databases and run reports.
  • Liaise with other agency departments including IT, business operations, finance, training and HR.
  • Coordinate events and special projects as requested.
  • Carry out other assignments as deemed appropriate and necessary to the functioning of the Department as requested.

Qualifications:

  • High school diploma/GED; Associates Degree preferred.
  • Bilingual English/Spanish
  • One year prior experience as an Administrative Assistant/Office Manager a plus.
  • Proficiency with Microsoft Office, Excel and Word; willingness to learn program specific databases.
  • Familiar with data entry and running reports.
  • Strong verbal and written communication skills.
  • Strong interpersonal skills and ability to maintain confidentiality.
  • Experience working successfully in multi-cultural environments serving vulnerable or underserved populations.
  • Friendly and welcoming personality.
  • Team player.
  • Occasional evenings required.
