Job description

Description
This role supports the YMCA's fundraising and advancement efforts by coordinating campaign activities, managing donor data, and providing administrative and strategic support to the Development team and Board. The position plays a key role in annual giving initiatives, donor stewardship, and ensuring accurate, timely gift processing and reporting. The ideal candidate brings 2-4 years of experience in fundraising, database management, or administrative support, along with strong attention to detail and organizational skills. Success in this role requires excellent communication and a donor-centered mindset, with the ability to manage multiple priorities effectively. A commitment to the YMCA's mission, along with flexibility to support events and community engagement, is essential.
  1. Thinks, communicates, and behaves as a cause-driven team member-promoting youth development, healthy living, and social responsibility in all job-related functions.
  2. Serves as campaign coordinator, providing integrated support for key campaign priorities in collaboration with the development team, Board of Trustees, and campaign committees.
  3. Leads components of the YMCA's annual giving strategy, including staff giving and community engagement, while helping develop new strategies to grow relationships and revenue.
  4. Provides executive-level support for philanthropy related board engagement, including preparation and coordination for Board of Trustees and Development Committee meetings.
  5. Supports donor stewardship by preparing correspondence and materials for donor visits, tours, and recognition activities.
  6. Maintains the integrity of the donor database through data entry, updates, and routine cleanup in partnership with the Development Team.
  7. Processes and acknowledges gifts in a timely, accurate, and donor-centered manner in coordination with Development and Finance.
  8. Provides administrative and scheduling support for the Advancement Team, including meeting preparation and follow-up.
  9. Generates donor lists, reports, and queries to support fundraising campaigns, appeals, and events.
  10. Assists with pledge tracking, reconciliations, donor communications, and engagement initiatives, while collaborating across departments to ensure consistent, high-quality processes.
  11. Demonstrates a commitment to diversity, equity, inclusion, and anti-racism through respectful collaboration and engagement with all communities.
  12. Ability to work effectively with diverse groups and viewpoints from all social and economic segments of the organization and community.
  13. Adheres to policies related to boundaries with youth. Participates in required abuse risk management training. Reports suspicious and inappropriate behaviors. Follows mandated abuse reporting requirements. Adheres to job-specific abuse risk management responsibilities.

Requirements
  • Bachelor's degree or equivalent combination of education and experience.
  • 2-4 years of experience in fundraising, database management, or administrative support (nonprofit experience preferred).
  • Previous experience supporting comprehensive or capital campaigns is a plus.
  • Strong attention to detail and accuracy in data entry and financial reconciliation.
  • Excellent organizational skills and ability to manage multiple tasks and deadlines.
  • Strong written and verbal communication skills; professional and donor-centered approach.
  • Proficiency in Microsoft Office Suite (especially Excel and Word); experience with Raiser's Edge NXT or similar CRM database preferred.
  • Commitment to providing excellent customer service to donors, staff, partners, vendors and volunteers.
