Position Summary
The Warehouse Operations & Fulfillment Specialist supports the accurate and timely flow of client-owned assets, trade show displays, promotional products, and employee-store orders. The role is primarily responsible for warehouse pull/packs, processing returns, and staging displays before shipment. During periods of increased volume, this position also assists with order quality control, shipping, employee-store fulfillment, and promotional kit assembly.

ResponsibilitiesWarehouse Pull/Packs and Returns
- Pull and verify client-owned assets, display components, graphics, hardware, cases, and accessories according to project instructions, inventory records, and packing lists.
- Pack displays and related materials securely and logically to reduce damage, improve installation efficiency, and support accurate return processing.
- Receive and process returned shipments by unloading, counting, inspecting, photographing, and identifying missing or damaged items; return usable items to their assigned inventory locations.
- Route damaged, incomplete, or questionable items for repair, replacement, or review.
- Maintain clear records and communicate discrepancies promptly so project teams can resolve issues before the next event or shipment.
Display Staging and Pre-Ship Verification
- Stage and, when required, assemble trade show displays before shipment using project notes, drawings, setup instructions, and available reference photos.
- Confirm that frames, graphics, lighting, electrical components, hardware, tools, accessories, cases, and installation materials are complete and compatible.
- Check the display for visible damage, fit, finish, stability, cleanliness, and overall presentation before approval for packing.
- Photograph and document the completed staging, then disassemble and repack the display in an organized manner that supports safe transit and efficient installation.
Order Quality Control
- Assist with final QC of display, graphic, promotional product, apparel, and fulfillment orders during busy periods.
- Compare completed orders with approved specifications, order details, artwork references, quantities, sizes, colors, branding, personalization, and requested packaging.
- Identify defects, shortages, incorrect items, or packaging concerns and escalate them before the order ships.
- Complete required checklists, photos, or documentation accurately and consistently.
Shipping Support
- Assist with packing, carton selection, pallet preparation, labeling, weighing, measuring, and final shipment verification.
- Prepare or confirm shipping labels, packing slips, tracking information, and other routine shipment documentation.
- Help coordinate carrier pickups, ensure outgoing orders are ready by required cutoff times, and provide tracking or shipment status information to the appropriate internal team.
Employee-Store and Promotional Kit Fulfillment
- Fulfill OrderMyGear employee-store orders by accurately picking, verifying, packing, labeling, and preparing orders for shipment, including confirmation of product, size, color, personalization, quantity, and destination.
- Assemble promotional kits according to client-specific instructions, including counting items, arranging contents, inserting printed materials, sealing packages, and applying labels.
- Maintain consistent presentation and accuracy across repetitive or high-volume kit projects.
Warehouse Organization, Teamwork, and Safety
- Maintain clean, organized, and clearly labeled warehouse, staging, packing, and fulfillment areas; communicate low-stock or supply concerns.
- Assist with cycle counts, location checks, replenishment, and other inventory-control activities.
- Coordinate priorities with Warehouse, Project Management, Production, Inventory, Shipping, and Client Account teams.
- Use tools, ladders, pallet jacks, carts, and other equipment safely and follow established safety procedures and required PPE practices.
Required Qualifications
- Strong attention to detail and the ability to identify missing, damaged, incorrect, or inconsistent items.
- Ability to read and follow pick tickets, packing lists, project notes, setup instructions, labels, and basic diagrams, with the judgment to ask questions when details are unclear.
- Ability to stay organized while managing multiple orders, projects, or deadlines.
- Basic computer skills and the ability to learn inventory, project, shipping, and order-fulfillment systems.
- Dependable attendance, clear communication, and a team-oriented approach.
- Ability to work independently after training while maintaining safe material-handling and accurate documentation practices.
Preferred Qualifications
- Previous experience in warehouse operations, order fulfillment, shipping, receiving, inventory control, kitting, or quality control.
- Experience with trade show displays, exhibits, graphics, branded merchandise, apparel, or light assembly.
- Experience using OrderMyGear or another e-commerce/order-fulfillment platform, common carrier shipping systems, or basic freight and parcel documentation.
- Forklift certification or willingness and ability to complete company-approved training.
Physical and Work Environment Requirements
- Regularly stand, walk, bend, reach, squat, kneel, climb, push, pull, and use hands for packing, assembly, and material handling.
- Regularly lift and carry items weighing up to 50 pounds; use team lifting or appropriate equipment for heavier or awkward items.
- Work in a warehouse and production environment that may include temperature variation, dust, noise, moving equipment, and active shipping areas while following required PPE, safety, and equipment procedures.

- QC, fulfillment, and shipping work is accurate and well documented, deadlines are supported, and work areas remain orderly.
