Facilities Planning and Operations Manager

Summary:
The Facilities Planning and Operations Manager is responsible for the overall operation, maintenance, safety, and functionality of the organization's buildings and grounds. This role ensures a safe, efficient, and well-maintained environment by overseeing facility operations, coordinating maintenance and improvement activities, managing vendor relationships, and supporting a positive experience for building occupants.
Pay: $55,000-80,000 annually
Location: 775 West Broad, Columbus, Ohio 43222 (Free parking + on a major COTA bus route)
Assignment: Full Time, Permanent
Responsibilities:
  • Oversee and coordinate the workflow of assigned staff and outside vendors, when needed, to ensure projects are completed in a timely and quality manner within available budget.
  • Develop and implement routine maintenance schedules and standards; ensure compliance with these standards.
  • Develop, implement and conduct regular safety inspections and risk assessments, implementing corrective actions as necessary
  • Oversee maintenance and repairs of electrical, plumbing, heating, ventilation, and air conditioning (HVAC), carpentry, painting, and other building systems
  • Manage security and access control systems coordinating with security personnel and vendors when necessary
  • Ensure organization’s buildings and grounds are clean, safe, and operational for all tenants and visitors in compliance with all applicable health, safety and environmental regulations
  • Serve as the primary point of contact for tenants regarding building-related concerns and requests, addressing issues in a timely manner and fostering positive relationships
  • Develop and maintain emergency preparedness plans and procedures
  • Manage relationships with third-party vendors and service providers
  • Monitor project progress, draft and distribute periodic progress reports for leadership and stakeholders.
  • Identify and make recommendations for needs related to furniture, equipment, and other goods; facilitates the procurement of approved items
  • Collaborate regularly with the Chief Executive Officer to identify renovation or construction needs for improvement, maintenance, and potential cost-savings
  • Prepare the departmental budget and review monthly financial reports to ensure compliance
  • Maintain compliance with applicable laws, regulations, policies, and best practices.
  • Participate in required training, certifications, and ongoing development as required
  • Perform other related duties as assigned
Education/Experience:
  • High School Diploma/GED equivalent strongly preferred
  • At least five years of related experience required, preferably in a commercial building setting
  • Management or supervisory experience preferred
  • Certifications in HVAC, Plumbing, Electrical and OSHA regulations strongly preferred
Knowledge/Skills:
  • Extensive knowledge of building systems such as plumbing, electrical, and HVAC
  • Thorough understanding of facilities planning principles, best practices, and procedures
  • Thorough understanding of local, state, and federal building codes, ordinances, and regulations
  • Ability to remain calm and respond to emergencies and manage crises effectively
  • Excellent time management skills with a proven ability to meet deadlines and delegate when needed
  • Basic understanding of budget creation and execution
  • Excellent verbal and written communication and interpersonal skills
  • Proficient in facilities management software and Microsoft Office Suite
Additional Requirements:
  • Must be able to traverse property and facilities to diagnose building issues and plan repairs or maintenance in all types of weather
  • Must be physically able to perform repairs when needed
  • Flexibility to work evening and/or weekend hours, as necessary to address emergencies or oversee priority projects
  • Occasional prolonged periods sitting at a desk and working on a computer
  • Must be able to lift 25 pounds at a time
