Administrative Support I

The City of Dublin is currently accepting applications for an Administrative Support I role. This position serves as the first point of contact for residents at our Service Center, providing exceptional customer service and administrative support that contributes to the efficient delivery of municipal services.

Primary Focus: Performs routine, detail-oriented clerical and administrative duties at the City of Dublin Service Center which include serving as the front desk receptionist, answering phones, sending and distributing mail, filing, copying or scanning documents, data entry, scheduling room reservations and meetings, maintaining inventory of office supplies, and other similar clerical tasks. Hours of Work: Monday - Friday; 8:00 a.m. to 5:00 p.m. with a designated one-hour lunch break. Supervisory Responsibilities: None Additional Information: Incumbent must model the following established core values: Integrity, Respect, Communication, Teamwork, Accountability, Positive Attitude, and Dedication to Service. Given the nature of this classification's duties/responsibilities, it has been designated as Non-Exempt under the governing Fair Labor Standards Act regulations and, therefore, is entitled to formal overtime compensation and/or formal compensatory time. The targeted salary range for this role is $42,400 - $50,900.

Examples of Duties

Essential Functions: Serves as the City of Dublin Service Center's front desk receptionist, providing professional and courteous front-line customer service. Provides essential administrative support requiring excellent written and verbal communication skills. Maintains exceptional public relations by providing routine information, handles minor problems, and refers contacts to the most appropriate source when needed. Performs basic accounting duties including cash handling, preparing deposits, reconciling cash accounts, fee collections, receipt generation, and other basic accounting and data entry tasks. Generates various permits. Sends and distributes mail. Document management which includes filing, copying or scanning documents. Schedules rooms for special events or meetings. Maintains inventory of office supplies. May handle confidential and sensitive information. Performs other related duties as assigned.

Typical Qualifications

Minimum Qualifications: High School Diploma or GED, entry-level coursework in Microsoft Office Suite (specifically Word, Excel, Outlook) and computer operations, and basic clerical and administrative support experience, or any equivalent combination of education and experience. Department/Division or administrative function may require licenses or certifications relevant to specific job responsibilities. Good organizational skills. Excellent written and verbal communication skills. Ability to proficiently learn intermediate Microsoft office applications and the Department's/Division's or administrative function's proprietary software following appointment. Ability and willingness to adapt, embrace, and support change, and to learn new methods and processes. Ability to seek out and participate in professional growth opportunities offered by the City to keep current and grow professionally. Physical Requirements: Ability to occasionally lift and move objects weighing 10 - 15 lbs. Ability to operate standard office equipment in performing essential functions (e.g. personal computer, fax, copier, telephone). Ability to perform data entry into a computer system in a sustained and continuous manner. Special Requirements: Valid driver's license. Other Requirements: Regular attendance, as governed by and in accordance with applicable rules, regulations, procedures, and laws, is regarded as an essential requirement of this classification.
