Job description

IT Implementation Specialist
Location: Columbus, OH
Position Summary
The IT Implementation Coordinator supports and coordinates technology projects related to new office openings, office relocations, closures, expansions, and other facility changes.
This role works extensively with Facilities, State Directors, local office leadership, internet service providers, copier vendors, security teams, network teams, contractors, and other internal and external stakeholders. Responsible for tracking project details, schedules, vendor activities, equipment requirements, communication, risks, and completion deadlines.

Responsibilities
  • Coordinate IT activities for new office openings, office relocations, closures, expansions, and other facility-related projects.
  • Serve as the primary IT coordination point for Facilities, State Directors, local people in charge, internal IT teams, vendors, contractors, and other stakeholders.
  • Create and maintain project plans, schedules, implementation checklists, milestones, dependencies, action items, and completion dates.
  • Gather and document technology requirements for each location, including internet connectivity, network equipment, wireless access, phones, printers, copiers, security systems, cabling, and other IT-related equipment and services.
  • Coordinate internet service provider activities, including service availability, quotes, orders, installation appointments, circuit activation, and issue resolution.
  • Coordinate with network, security, and technical support teams to ensure equipment and services are configured, installed, tested, and ready for use.
  • Coordinate copier, printer, low-voltage cabling, security, and other technology vendors from initial request through project completion.
  • Obtain and compare vendor quotes and support the selection of cost-effective solutions that meet technical and operational requirements.
  • Track equipment orders, service requests, shipping, delivery, installation, configuration, testing, and deployment.
  • Confirm that all technology requirements are completed before an office opening, move, closure, expansion, or project go-live.
  • Proactively identify project risks, issues, delays, dependencies, and resource needs and escalate concerns to the appropriate leadership.
  • Monitor project milestones and update schedules, priorities, and stakeholder expectations when delays or changes occur.
  • Provide clear and timely project status updates, including upcoming activities, assigned responsibilities, risks, decisions, and completion dates.
  • Schedule and facilitate project meetings, vendor calls, readiness reviews, and implementation checkpoints.
  • Document meeting notes, decisions, action items, owners, and due dates and follow up until items are completed.
  • Maintain accurate project records, office technology inventories, vendor information, service details, implementation documentation, and reports.
  • Ensure office closures include the proper cancellation, transfer, return, removal, or disposal of IT equipment and services.
  • Conduct post-implementation reviews to verify that services are functioning properly and outstanding issues are documented and resolved.
  • Recommend improvements to project processes, templates, checklists, documentation, and implementation standards.
  • Maintain positive and professional working relationships with staff, vendors, contractors, and internal departments.
  • Perform other related duties as assigned.

Minimum Qualifications
  • Bachelor's degree in information technology, computer science, business administration, project management, or a related field
  • One to three years of experience coordinating IT projects, technology implementations, office moves, infrastructure projects, vendor activities, or related work.
  • Experience managing multiple projects, tasks, vendors, and stakeholders with competing deadlines.
  • Basic knowledge of IT infrastructure, including internet services, network connectivity, wireless networks, computers, printers, copiers, phones, cabling, and security systems.
  • Experience maintaining project plans, schedules, task lists, status reports, meeting notes, and implementation documentation.
  • Proficiency with Microsoft Outlook, Excel, Word, PowerPoint, Teams, and SharePoint.
  • Experience with project management platforms such as Smartsheet, Microsoft Planner, Monday.com, or similar tools preferred.
  • Capacity to remain objective and professional in all areas of job function.
  • Demonstrates tolerance and respect for the ideas and actions of others.

  • Proficient use of desktop and laptop computers, smart phones and tablets, printers, fax machines and photocopiers as well as software including word processing, spreadsheet and database programs.
