OEA members provide a wide range of professional education services in communities throughout the state. The OEA is seeking an Operations and Support Assistant to perform printing and mailing functions, clerical, and receptionist responsibilities in the headquarters office located in downtown Columbus. Daily duties include receiving, sorting, and distributing mail, preparation of meeting materials using printing and binding equipment, as well as updating files and lists. Additional duties and responsibilities are listed below.
Essential Functions:
- Provides customer service to visitors, to callers, to staff and to members
- Greets persons entering establishment, determines nature and purpose of visit and directs them to specific destinations
- Operates telephone to answer, screen and forward calls, providing information and taking messages
- Performs clerical support tasks such as proofreading, opening mail, and transcribing handwritten information; maintains and updates meeting room calendars and phone lists
- Notifies staff of front-desk deliveries
- Uses current computer software applications to enter data and process information in accordance with Association policies and procedures
- Operates office equipment, printing, duplicating, bindery, and mailing equipment and postage machines
- Creates and/or maintains paper or electronic filing systems
Significant Duties:
- Receives, sorts, processes and distributes mail
- Assists with preparation of meeting materials
- Communicates information to managers, co-workers and others in person, by telephone, in written form or e-mail
- Attends staff meetings and trainings
- Provides input into decision-making as it impacts associate staff functions
- Performs duties related to job description
- Provides support for organizing plans and practices for engaging members
- Maintains confidential records and files
- Operates in a collaborative team environment
Qualifications:
- High school diploma or equivalency
- One year of receptionist or call center customer service experience required
- Two (2) years’ experience in an automated office environment performing moderate level data entry work and/or in use of computer systems, databases and computer software applications
- Ability to communicate effectively and professionally
